Minimum Qualifications

  • High school diploma required.
  • Associate’s degree or higher preferred.
  • At least five (5) years’ experience in an administrative support role required.
  • Proficient with Microsoft Office products and other technology appropriate for the position. Must have strong knowledge and experience working with Microsoft Excel.
  • Strong verbal and written communication skills.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

REPORTS TO

Supervisor of Elementary Curriculum & Instruction

JOB GOAL

Under the direct supervision of the assigned Supervisor, responsible for federal finance record keeping, coordinating meetings and conferences, working on special projects to include state reporting and grant proposals as well as supporting the policy compliance process. Majority of time is spent supporting teachers with staff development documentation and programming and supporting elementary schools as needed with administrative tasks. This job will require advanced knowledge of Microsoft Excel and other web based programs.

Answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of external callers, vendors, and internal contacts at all levels. Must communicate assessment and federal/state requirements on web and through a variety of sources to district personnel and public. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

PERFORMANCE RESPONSIBILITIES

  • Inputs, verifies, organizes, and creates a variety of student/teacher data to provide to the Board of Education, district personnel, and other organizations.
  • Schedules and organizes complex activities such as meetings, travel, conferences, and activities for the Supervisor and district personnel.
  • Organizes and prioritizes large volumes of information and calls.
  • Sorts and distributes mail for Supervisor. Drafts written correspondence and independently responds to routine inquiries.
  • Acts as the office liaison with other departments, schools, and agencies to provide requested information. Handles confidential and non-routine information and explains policies as necessary.
  • Types and designs general correspondences, memos, charts, tables, graphs, planning materials, etc. Proofreads copy for spelling, grammar and layout, and makes appropriate changes. Responsible for accuracy and clarity of final copy for submission to local, state, and federal agencies on behalf of the school district.
  • Works independently and within teams on special events and projects. Acts as a project manager for certain projects at the request of the Supervisor. Duties may include planning and coordinating presentations and meetings, providing administrative support, researching potential solutions for identified problems, disseminating information, and creating collateral materials.
  • Provides historical reference by completing data base backups and maintaining filing system and documenting meetings as needed.
  • Performs other related duties as required.
