Job Summary
The Patient Access & Pre-Access Supervisor organizes and coordinates the activities of assigned staff to ensure safe, effective, and appropriate work in a fiscally responsible manner. He/she handles and solves problems related to the area of assignment, maintains a working knowledge of functions in the area of responsibility, and works with the patient access manager to develop and coach staff for optimal performance.
The supervisor conducts and oversees orientation and training of all Patient Access staff, performs Revenue Cycle tasks necessary to ensure compliance and excellent customer service, and assists the Patient Access Manager with day-to-day operations.
- Coordinate all registration duties with direct and indirect reporting employees, ensuring registration and pre‑registration duties are completed daily; provide training for staff and monitor daily productivity.
- Provide and review reports to track department performance in key metrics such as point of service, wait times, overtime, and productivity; report may be daily, weekly, monthly, quarterly, annually, or as requested.
- Assign and coordinate staff schedules, including scheduling rotations, time off, and call‑offs; ensure schedules comply with organizational policies, minimizing overtime while maximizing productivity.
- Track and monitor upfront collection processes, assign goals, and provide coaching and corrective action as appropriate.
- Perform on‑call duties on a rotation that includes days, nights, and weekends; provide administrative and educational guidance to staff via telephone and fill in for staff shortages or unexpected volumes as needed.
- Assist in developing department processes and procedures; conduct staff training, education, and development; conduct audits to ensure acceptable performance and provide continual coaching and education.
- Act as a resource for staff and ancillary departments; embrace standards of behavior to provide and promote excellent customer service for internal and external customers; hold self and others accountable for behaviors that promote service excellence.
- Manage assigned projects involving implementing, tracking, and process changes; report to Patient Access Leadership routine monitoring.
- Participate in daily facility activities as assigned by Patient Access Leadership; gather statistical information for the department and assist in designated areas as needed.
- Assist with staff evaluations and maintain time/attendance systems.
- Attend facility meetings as required to ensure process alignment and effective communication between clinical teams and the department.
- Demonstrate advanced usage of AI and manage teams using AI to improve processes and technology, including exploration, experimentation, and application of AI.

Experience:
1 to 3 Years
Skills and Abilities
- Associate degree (2 years) or Bachelor’s degree (4 years).
- 2–3 years of supervisory experience in healthcare or business field preferred.
- Ability to lead/direct others; high degree of analytical ability; working knowledge of Microsoft Office.
- Knowledge of registration, insurance, scheduling, and/or verification and hospital billing.
- Demonstrated advanced usage of AI and management of teams using AI for process and technological improvements, including exploration, experimentation, and application of AI.
- Certified Healthcare Access Management (CHAM)
- Certified Revenue Cycle Representative (CRCR)
The starting salary for this position is $47,400 annually; final compensation will be based on experience.
