Hours: 8:00am - 5:00pm, Monday - Friday

Summary:

The primary role of the procurement assistant is to provide support to the procurement team. This role assists with the reception support and mail room, vendor process – onboarding/ongoing COI management, B2B user setup/support, travel booking, processing expense, corporate purchases, and the gatekeeper for the procurement help desk.

Essential Functions and Responsibilities
  • Provide tier-one support via KACE, routing tickets to the appropriate teams
  • Support reception and mailroom operations, including backup coverage
  • Manage vendor setup and compliance, including document review and follow-ups
  • Maintain vendor insurance records and assist with invoice reconciliation
  • Support P-card transactions, ensuring policy compliance and timely reconciliation
  • Coordinate office supply orders and record purges with vendors
  • Assist with travel bookings and expense processing
  • Perform general administrative and clerical support as needed
  • Participate in trainings and team meetings
Minimum

Skills and Qualifications
  • High school education, business school or college courses highly preferred
  • Three years administrative and office experience
  • Proficient in Microsoft Office Suite
  • Requires a customer service mindset.
  • Excellent organizational, communication and problem solving abilities.
  • Ability to work independently.
  • High attention to detail with the ability to manage multiple priorities in a fast paced environment.
  • Ability to maintain a high level of confidentiality and be a team player.
