- Maintain complete project documentation including contracts, RFIs, submittals, change orders, and closeout packages
- Enter and manage purchase orders in Sage 300 CRE following project approval
- Commit costs to appropriate job codes and maintain accurate buyout logs
- Track and manage change order requests, proposal requests, and invoice logs
- Prepare pricing documentation and route for internal approval
- Scan and submit slips and supporting documentation to project owners
- Coordinate surety bond requests with insurance partners
- Manage execution, signatures, seals, and distribution of bond documents
- Process and track certificates of insurance to ensure vendor and subcontractor compliance
- Administer OCIP and CCIP documentation including monthly reporting and job setup
- Assist with project closeout procedures and insurance compliance
- Process subcontracts and subcontract change orders
- Track outstanding subcontract documentation including COIs and executed agreements
- Manage tax exempt forms and ensure proper documentation is maintained
- Prior experience as a Project Administrator, Project Coordinator, or similar role
- Construction industry experience supporting project management teams
- Experience working with Procore or similar construction management software
- Strong organizational skills with the ability to manage multiple priorities
- Strong attention to detail and follow through
- Bachelor’s degree in Construction Management, Business Administration, or related field
- Experience supporting heavy civil or site development projects
- Familiarity with HCSS or Construction Link platforms
- Experience using Primavera or Microsoft Project
- Exposure to OCIP or CCIP programs
- Proficiency with Sage 300 CRE
