Summary

The Preventive Maintenance (PM) Coordinator is responsible for quoting, planning, scheduling, and overseeing all preventive maintenance activities to ensure equipment reliability, safety, and efficiency. This role requires a proactive mindset, strong organizational skills, and the authority to make decisions regarding scheduling, resource allocation, and maintenance prioritization. The PM Coordinator works closely with service technicians, operations, and management to minimize downtime and extend asset life.

Key Responsibilities
  • Develop, implement, and maintain the preventive maintenance schedule for all equipment, facilities, and assets.
  • Monitor equipment history and usage data to adjust schedules and optimize maintenance frequency.
  • Exercise decision‑making authority to prioritize work orders, assign tasks, and authorize schedule changes.
  • Coordinate with operations and service teams to minimize production disruptions during maintenance activities.
  • Ensure proper documentation of completed maintenance, inspections, and compliance records.
  • Track and analyze maintenance metrics (uptime, mean time between failures, maintenance costs).
  • Order and manage spare parts, supplies, and maintenance materials to support scheduled activities.
  • Identify potential equipment issues and proactively recommend corrective actions.
  • Collaborate with safety and compliance teams to ensure all maintenance activities meet regulatory standards.
  • Provide reports and updates to leadership on maintenance performance, costs, and equipment health.
Decision‑Making Authority
  • Prioritize maintenance work orders based on criticality and resource availability.
  • Authorize emergency or corrective maintenance when necessary.
  • Recommend equipment upgrades, replacements, or process improvements.
Qualifications
  • High school diploma or equivalent required; technical degree or certification in Maintenance, Engineering, or related field preferred.
  • 3+ years of experience in maintenance planning, coordination, or supervision.
  • Knowledge of preventive maintenance practices, CMMS (Computerized Maintenance Management Systems), and reliability standards.
  • Strong decision‑making, organizational, and communication skills.
  • Ability to read technical manuals, schematics, and maintenance instructions.
  • Familiarity with OSHA and other safety/regulatory compliance standards.
