Position

DAY CENTER RECEPTIONIST – WBL Coordinator

Job Summary

Greet clients, families, caregivers, and other stakeholders. Escort/assist clients in and out of programs and building as needed. Accurately complete all required documentation within specified time limits. Provide administrative support for the Day Program.

Shift and Schedule
  • Days:
    Monday, Tuesday, Wednesday, or Friday (Quarter 1 & Quarter
    2)
  • Shift options: 9:00 am–1:00 pm or 1:00 pm–4:30 pm
  • Shift times before 9:00 am or after 4:30 pm as needed per WBL employer discretion
  • Duration: 4–12 weeks
Duties and Responsibilities
  • Escort/assist clients to the recreation room.
  • Coordinate all arrivals and departures in a professional, orderly, and friendly manner.
  • Answer telephone calls, forward calls, and take messages as appropriate.
  • Refer all communications to appropriate staff.
  • Maintain current, accurate participant attendance information; update weekly and verify daily attendance.
  • Obtain signatures from caregivers/families as instructed.
  • Perform all other duties requested by the Site Leadership Team.
  • Attend and participate in staff meetings, in‑services, projects, and committees as assigned.
  • Participate in special projects and perform additional duties as required.
  • Clean and disinfect the receptionist counter, lobby chairs, end tables, phones, and keyboards as needed, and organize the counter at the end of the shift.
  • Assemble information packets.
  • Provide set‑up for staff in‑services.
Qualifications
  • Transition Academy student.
  • High School Graduate or equivalent; associate’s degree preferred.
  • One year’s experience in a receptionist or administrative support position.
Special Requirements / Knowledge, Skills, and Abilities
  • Excellent interpersonal, written, and verbal communication skills.
  • Excellent typing, spelling, punctuation, and grammar.
  • Good judgment, discretion, organizational ability, and initiative.
  • Self‑starter; intuitive and proactive.
  • Knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to multi‑task and act as a team player with a superior service attitude.
  • Ability and maturity to handle confidential and time‑sensitive information.
  • Professional and cheerful with a positive attitude and demeanor.
  • Maintain HIPAA compliance.
  • Final hiring pending OSBI background check, clean driving record, Community Services Registry check, and pre‑employment screening.
Physical Requirements
  • Bending, stooping, and lifting a minimum of 50 lbs.
  • Ability to push 200 lbs (in a wheelchair).
  • Good hearing and vision capabilities.
Additional Requirements
  • Maintain CPR/First Aid certification.
  • TB test required for anyone working at the Day Center.
  • Criminal arrest check through OSBI; per Section 1025.1 of Title 56 of the Oklahoma statutes, House Bill 1790, any prospective employee with a felony, misdemeanor conviction, guilty plea, or plea of nolo contendere will not be eligible for employment unless an appropriate waiver is obtained from the Office of the Director, DDSD, Department of Human Services, or its designees.
  • Community Services Registry check (House Bill 1790) done through DDSD; a person named on the registry cannot work for A New Leaf.
  • Employees and A New Leaf are engaged in an at‑will employment relationship, meaning either party may terminate the relationship at any time with or without reason and with or without notice.
Reporting

Reports to Marketing and Development Director.
