Administrative Assistant/Front Office Administrator
St. Barnabas Elementary School is seeking a friendly, organized, and professional Administrative Assistant / Front Office Administrator to join our school community. As the first point of contact for students, parents, faculty, staff, and visitors, this individual plays a vital role in creating a welcoming environment while ensuring the smooth and efficient operation of the school office. The Administrative Assistant provides clerical, organizational, and administrative support to the Principal, faculty, staff, students, and families, helping to advance the mission of St.
Barnabas Elementary School and Catholic education.
Key Responsibilities
- Greet and assist students, parents, staff, and visitors in a professional, courteous, and welcoming manner.
- Answer, screen, and direct incoming phone calls, emails, and other correspondence.
- Maintain student attendance records and assist with daily attendance reporting.
- Maintain student and staff files in a confidential, accurate, and organized manner.
- Support the Principal and faculty with scheduling, photocopying, mailings, data entry, filing, and other clerical duties.
- Assist with school communications, meetings, and special events as needed.
- Maintain front office organization and oversee office supplies, placing orders when necessary.
- Handle confidential information with professionalism, discretion, and integrity.
- Assist with school information systems, including FACTS and other administrative platforms.
- Uphold the values and mission of St. Barnabas Elementary School and the Catholic school community in all interactions.
- Perform other duties as assigned by the Principal.
Qualifications
- High school diploma required;
Associate's degree or higher preferred. - Prior experience in an office, administrative, or Catholic school setting preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Ability to learn and effectively utilize school information systems, including FACTS SIS, FACTS Tuition.
- Strong organizational, time-management, and multitasking skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and demonstrate professionalism at all times.
- Proficiency in Spanish is highly desirable.
