Position OverviewICPA is seeking a reliable, detail-oriented, and organized Administrative Support Coordinator to provide part-time administrative support across two primary areas:
event and sponsorship coordination and education/certification administration
.
This role is designed to reduce the administrative workload of ICPA's teams by handling follow-up communication, data and systems work, event support, and process documentation. The ideal candidate is a self-starter who is comfortable learning new systems, communicating professionally, and identifying issues before they become problems.
The Administrative Support Coordinator will work under the supervision of ICPA's Executive Assistant and collaborate closely with the Director of Partnerships and Director of Education
.
- 12-month independent contractor agreement at $20/hour
- Approximately 20 hours per week
- Workload and priorities may vary based on seasonal and event-related needs
- The contract may be extended beyond the initial 12-month term based on organizational needs and performance
- There is potential for conversion to an ICPA employee position based on organizational needs, demonstrated performance, and mutual fit
- Contract extension or employment conversion is not guaranteed
- Send follow-up communications to sponsors and exhibitors, including registration reminders, payment status, and outstanding deliverables
- Set up and maintain exhibitor records in the event registration platform (Cvent)
- Check registration status against expected participants and follow up as needed
- Secure sponsor logos and resize them using existing Canva templates for signage, badges, and promotional materials
- Support sponsorship-related research and reporting
- Review event data for accuracy, including exhibitor lists and registration details
- Identify and help resolve inconsistencies or missing information
- Assist with continuing education (CEU) credit coordination, including communication with accrediting organizations for code requests
- Support education and certification-related administrative tasks as assigned
- Assist with tracking, follow-up, and organization of education-related information and records
- Document processes into clear, step-by-step SOPs as new responsibilities are learned
- Help create and maintain documentation that allows processes to be easily transferred or covered by other team members
- Proactively communicate workload, progress, and capacity
- Participate in regular check-ins to confirm priorities and upcoming needs
- Report website, system, registration, or data issues when identified
- Maintain consistent and professional communication with ICPA staff and external contacts
- Take initiative to identify tasks that need attention and follow through without requiring constant direction
Skills & Qualifications
- Basic to intermediate spreadsheet skills; comfortable creating, sorting, organizing, and maintaining data in Excel or similar tools
- Comfortable learning and navigating new web-based systems and platforms
- No coding experience required
- Strong attention to detail and critical-thinking skills
- Ability to recognize when something looks incorrect and take appropriate steps to investigate or resolve the issue
- Excellent written communication skills
- Professional communication style when interacting with sponsors, exhibitors, education contacts, and other professional stakeholders
- Reliable and consistent availability
- Access to a working computer and stable internet connection
- Self-motivated and able to work independently
- Willingness to document processes and take ownership of learning new responsibilities
- Ability to communicate proactively about workload, progress, and availability
- Ability to collaborate effectively with a remote team
- Familiarity with Cvent or a similar event registration platform
