Position Summary The Customer & Plant Operations Coordinator serves as the operational communication hub for the Brookhaven facility. This position is responsible for managing customer orders from receipt through delivery while coordinating transportation, inventory, production scheduling, and communication across departments and branches.

This role also performs all Order Management System (OMS) responsibilities for the Brookhaven location and ensures accurate order entry, inventory management, shipping coordination, and customer support. Success in this position requires exceptional organizational skills, advanced Excel proficiency, outstanding communication, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Essential Duties & Responsibilities Customer Service & Order Management Perform all Order Management System (OMS) functions for the Brookhaven facility.

Receive, process, and enter customer orders accurately and timely.

Verify order details, pricing, delivery requirements, and customer specifications.

Maintain accurate customer records and order documentation.

Monitor open orders and proactively resolve issues before they impact deliveries.

Provide outstanding customer service while maintaining professionalism and urgency.

Communicate order changes, delays, and updates with customers as needed.

Logistics & Shipping Coordination Schedule outbound shipments and coordinate transportation with internal drivers and third-party carriers.

Work closely with Transportation, Production, and Sales teams to ensure on-time deliveries.

Coordinate transfers between Emory Dry Ice locations when necessary.

Track shipments and provide status updates to customers and internal stakeholders.

Ensure shipping paperwork and documentation are completed accurately.

Assist with freight scheduling and routing to maximize efficiency.

Production & Inventory Coordination Maintain daily communication with plant leadership regarding production schedules and inventory availability.

Coordinate customer demand with production capacity.

Monitor inventory levels and communicate shortages or production concerns.

Assist in planning production schedules based on customer demand.

Identify potential supply chain or logistics issues before they impact customers.

Communication & Team Collaboration Serve as the primary communication link between:

Customers Brookhaven Operations Transportation Sales Other  Emory Dry Ice branches

Corporate support teams

Maintain frequent communication regarding customer priorities, inventory, production status, and delivery schedules.

Build positive working relationships across all departments.

Administrative Responsibilities Prepare reports and analyze operational data using Microsoft Excel.

Maintain accurate shipping, inventory, and customer records.

Generate reports for leadership as requested.

Assist with billing support and documentation when needed.

Ensure data accuracy across company systems.

Required Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred.

Previous experience in customer service, administrative support, manufacturing, office operations, or a related field preferred.

Strong Microsoft Office skills, with advanced proficiency in Microsoft Excel preferred.

Excellent written and verbal communication skills.

Highly organized with exceptional attention to detail.

Strong critical thinking and problem-solving abilities.

Ability to manage multiple priorities and remain organized in a fast-paced environment.

Self-motivated with the ability to learn new systems, processes, and responsibilities quickly.

Positive attitude with a willingness to support all areas of the operation.

Ability to work independently while also collaborating effectively with multiple departments.

Preferred Qualifications Experience in manufacturing, logistics, shipping, customer service, or order management is helpful but not required.

Experience using ERP, inventory, or order management systems is a plus.

Ability to interpret data, identify trends, and make logical recommendations.

Demonstrated ability to quickly learn new software and operational processes.
