Job Title:
COUNSELOR SECRETARY – HIGH SCHOOL
Location:
Brookings High School
Days per year: 188 days per school year (prorated for current year)
Wage: $19.82/hour
Qualifications- High School diploma and one or more years of equivalent or related clerical experience.
- Ability to use a variety of computers and software packages including Microsoft Word, Excel, Access and PowerPoint.
- Good communication and listening skills.
- Ability to handle multiple tasks in a timely manner.
- Good organizational skills with ability to tolerate constant interruptions.
Provide word processing and clerical support through answering questions from students, parents and staff; creating, editing and preparing computer generated reports, forms and documents; updating, maintaining and troubleshooting computer programs for school records; compiling and copying forms, booklets and handouts; and assisting teachers and other staff with all facets of the copy machine.
Performance Responsibilities- Answer and refer phone calls, greet, provide information and direct individuals.
- Prepare and process a variety of correspondence, bulletin boards, records and files.
- Perform general clerical duties to include distribute mail, schedule appointments, monitor and order supplies, maintain inventory.
- Perform registrar responsibilities to include preparing, maintaining, and copying student records and handling requests on transferring students.
- Oversee class registration process through scheduling students with counselors.
- Organize and maintain students’ cumulative files.
- Coordinate the Girls/Boys State selection process.
- Prepare awards night materials.
- Coordinate and maintain student scholarship applications and files.
- Provide information to newspapers.
- Assist with creation of newsletters, posters, and flyers.
- Request information from colleges.
- Oversee student scheduling and preparing testing materials for the PLAN, 10th grade Writing Assessment, Career Cruising, Dakota Step, ACT Prep Class, PSAT.
- Assist with testing by collecting and receipting money, registering students, compiling lists, typing correspondence and filing results.
- Coordinate with service organizations (i.e. Kiwanis, Rotary) for student achievement awards.
- Collect and maintain catalogs and applications.
- Other duties as assigned.
The Board shall offer a letter of agreement with wages and benefits to be determined by the board as delineated in the Master Agreement.
Evaluation ProcedureThis position is responsible to the building principal(s) and the performance of this position will be evaluated by the building principal(s).
