Office Administrator/ Coordinator
The Philanthropy Assistant provides essential support, focusing on administrative tasks that ensure the smooth operation and coordination of specific programs, projects, and initiatives. This role requires organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The position may report to more than one direct supervisor.
This position’s work location is hybrid with two or three days per week remote. The selected candidate may only work remote days from a New England state (ME, VT, NH, MA, CT, RI).

- Assist with day‑to‑day administrative tasks, including but not limited to managing calendars, scheduling meetings, travel arrangements, mail management, and preparing meeting materials.
- Maintain and update organizational and management systems and databases, ensuring accuracy and confidentiality of information. Assist in generating reports as needed.
- Prepare and edit correspondence, documents, reports, and presentations. Provide timely email and phone communication with internal and external stakeholders.
- Financial support: review and reconcile P‑cards, process expense reimbursements, and assist with preparing donor acknowledgement and correspondence.
- Event support: contribute to the logistical planning and execution of meetings, events and programs.
- Collaborate with colleagues on team‑wide or division‑wide ad‑hoc projects and initiatives.
- Other duties as assigned.
Skills and Abilities
- Good written and verbal communication skills.
- Customer service orientation: ability to interact professionally with peers, leadership, donors and external contacts.
- Ability to organize, prioritize, and follow through on a variety of projects under close supervision of a manager. Attention to detail with ability to perform and complete tasks with accuracy.
- Problem‑solving: identify issues and proactively work to resolve problems.
- Maintain confidentiality and discretion with confidential information.
- Basic computer literacy: knowledge of Microsoft Office Suite.
- High school diploma or equivalent. No experience required.
Pay Transparency Statement:
The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications. For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
Salary range: $53,500.00 – $58,200.00
