Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Our client is looking for someone to join their team as an Executive Assistant on a contract basis. This hybrid position offers a stimulating environment within a mission-driven organization that values impact, excellence, compassion, and innovation. You will be instrumental in managing complex calendars, coordinating high-profile meetings, preparing key communications, and supporting division-wide initiatives.
Compensation: $40-45/hour*

Candidates must be local and able to work hybrid in Brookline, MA.
Responsibilities- Manage complex calendars, scheduling meetings and coordinating priorities to support daily operations.
- Prepare presentations, reports, correspondence, and other business documents with accuracy and professionalism.
- Coordinate meetings, travel arrangements, and events while ensuring smooth logistics.
- Collaborate with internal teams and external contacts to support administrative and operational needs.
- Process expenses, invoices, and other financial or administrative documentation.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Support departmental operations by maintaining documentation, coordinating resources, and improving administrative processes.
- Assist with special projects and cross-functional initiatives to support business objectives.
- Contribute to an organized, collaborative work environment through strong communication and proactive support.
- Bachelor’s degree preferred; high school diploma required.
- 8+ years of administrative or executive support experience, supporting senior leaders.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills with strong attention to detail.
- Proficiency in Microsoft Office Suite and experience with systems such as Workday, SharePoint, and Adobe Acrobat.
- Ability to handle confidential information with discretion and professionalism.
- Comfortable working independently and collaboratively within a team environment.
- Experience in healthcare, research, or academic settings preferred.
