Assistant Director of Auxiliary Programs

The Auxiliary Programs team at Dexter Southfield is dedicated to enriching student experiences beyond the classroom. The department oversees summer camps, enrichment programs, and athletic opportunities that support learning, creativity, and skill development year-round. Team members work collaboratively to ensure engaging programming and smooth operations for families within and beyond the Dexter Southfield community.
Position SummaryThe Assistant Director of Auxiliary Programs plays a key role in managing data, logistics, and the customer service experience for the Dexter Southfield Auxiliary Programs Department. This position supports summer camps and year‑round auxiliary programming by maintaining accurate systems, communicating effectively with families, and collaborating closely with camp leadership and campus partners. The Assistant Director of Auxiliary Programs thrives in a fast‑paced environment that requires frequent task switching, strong attention to detail, and excellent communication skills.
This role serves as a primary point of contact for camp families while also managing complex spreadsheets, databases, and logistical processes that ensure the smooth operation of summer and auxiliary programs.
- Serve as primary contact for camp families, responding to daily email and phone inquiries regarding attendance, transportation, scheduling changes, and program updates
- Partner closely with Camp Directors to maintain accurate rosters, oversee bus operations, and support daily camp logistics
- Manage and maintain databases and software systems related to camp registration, transportation, and auxiliary programming
- Create and analyze spreadsheets related to registration trends, campership data, financial tracking, and summer staffing costs
- Assist families with enrollment changes, waitlists, cancellations, and overall summer planning
- Coordinate with the Marketing Department to ensure accurate and timely camp communications and website updates
- Support the hiring process for camp staff, including tracking required paperwork and documentation
- Assist with summer transportation planning, including bus routes, rosters, and daily dispatch coordination
- Oversee the American Camp Association (ACA) accreditation process during accreditation years
- Provide operational and scheduling support to camp leadership throughout the year
- Perform additional duties as assigned to support auxiliary and campus programs
- Maintain daily attendance and roster updates, including absences, early dismissals, and transportation changes
- Coordinate afternoon bus dispatch and troubleshoot attendance or system issues
- Send weekly camp communications, including welcome emails and pick up passes
- Manage weekly camper changes, waitlist movement, and registration updates
- Run weekly bus monitor meetings and provide ongoing communication support
- Track camper T‑shirt sizes and distribute weekly camper data to Camp Directors
- Bachelor’s degree in Business Administration, education, or related field
- Strong attention to detail with the ability to manage multiple priorities simultaneously
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office, particularly Excel
- Experience with Camp Minder preferred; ability to quickly learn systems such as Gazebo and Cariina
- Strong organizational, analytical, and customer service skills
- Familiarity with the American Camp Association (ACA) or SPARC is a plus
