Ambulatory Clinic Supervisor II - ASAP

Position Summary

The Adolescent Substance Use & Addiction Program (ASAP) at Boston Children’s Hospital provides national leadership in the evaluation and treatment of substance use problems and disorders in children and adolescents. As a Ambulatory Clinic Supervisor II, you will supervise, perform and oversee administrative functions of the unit, including preparing and monitoring unit's operating and capital budgets, maintaining supply and equipment inventory and developing and implementing unit administrative procedures and systems.

Select, train, supervise and evaluate work of support service personnel. Provide administrative support for Director.

• Provide administrative support for Director and unit operations. Monitor and maintain unit files and records, including confidential and/or sensitive information. Prepare, verify and monitor departmental payroll and related records. Schedule and attend unit based and departmental committee and council meetings, preparing and maintaining meeting records. Collect and compile information and prepares reports as required for regulatory and accreditation inspection, management review and special projects.
• Select, train, supervise and evaluate unit's non clinical support staff. Develop and implement work schedules and delegates assignments to meet unit operations and coverage requirements. Conduct annual performance appraisals, monitor and evaluate employee job performance, provide guidance and feedback and initiates disciplinary and other personnel actions as warranted.
• Oversee safety and maintenance of unit's physical environment. Arranges and oversees quarterly inspection by Hospital Engineering, Safety and Environmental services and follows up on recommendations. Monitor condition of physical environment and recommend, arrange and oversee provision of needed services and improvements.
• Evaluate Program’s space needs. Oversee clinician schedule(s) to ensure appropriate room utilization and resource allocation. Monitor and coordinate any facility issues which affect operations. Recommend efficiency improvements to the Practice Administrator.
• Ensure patient satisfaction by providing positive and effective customer service. Monitor and assess management and operations for patient satisfaction. Recommend and implement improvements to service.
• Provide non-clinical orientation programs for unit staff. Ensure all Program personnel are trained in Hospital policies and procedures, as well as in the Hospital's information systems, including follow up training and consultations. Ensure compliance with third‑party regulations and requirements and billing as they relate to proper documentation, coding and charge entry processes for program clinical services.
• Participate in unit leadership group and assists in development and implementation of unit based programs. Communicate and work with management and staff of other hospital departments in coordinating needed purchasing, maintenance and repair services.

• Associate's or equivalent experience required
• Bachelor's preferred

• 4 years of experience
• Analytical skills to collect information from diverse sources, apply professional principles in performing various analyses, and summarize the information and data in order to solve problems OR design relatively complex systems and programs that cross department/divisional lines.
• Communication skills in order to effectively deal with conflicting views or issues and mediate fair solutions, or well developed writing skills.
