Under the supervision of the Office Manager, the ASP Clerk provides afternoon and evening front desk and operational support during New Millennium Academy’s After School Program (ASP). The ASP Clerk serves as a key point of contact for scholars, families, staff, and visitors during ASP hours and helps ensure safe and efficient scholar dismissal and transportation.
The ASP Clerk will assist with regular front desk responsibilities, including answering phones, communicating with families, supporting scholar pick-up and dismissal, and helping coordinate transportation needs related to ASP. The position will primarily work from 2:00-6:00 PM during ASP programming, with the possibility of additional hours when front desk coverage is needed or when ASP activities, including home games and other events, extend beyond 6:00 PM.
The ASP Clerk must be bilingual in English and Hmong and demonstrate strong communication, organization, dependability, and customer service skills. The successful candidate will understand the importance of scholar safety, family communication, and providing responsive support within a fast-paced school environment.
POSITION SPECIFICATIONS Front Desk & Family Support- Serve as a primary point of contact at the front desk during assigned ASP hours.
- Answer incoming phone calls and respond to or appropriately direct questions from families, staff, and community members.
- Greet and assist parents, families, scholars, staff, and visitors in a professional and welcoming manner.
- Communicate with families regarding scholar pick-up, transportation, scheduling, and other ASP-related needs.
- Support scholar check-in and check-out processes and help ensure established school procedures are followed.
- Assist scholars who come to the front office and connect them with the appropriate staff member or service.
- Support safe and orderly scholar dismissal during ASP.
- Assist with ensuring scholars report to and board the correct buses or other approved transportation.
- Coordinate with ASP staff, transportation staff, and the front office regarding transportation changes, delays, or other scholar transportation needs.
- Communicate relevant transportation information to families as needed.
- Help monitor scholars during dismissal and transportation transitions to support scholar safety.
- Assist with transportation and dismissal needs during home games, special programming, or other ASP activities.
- Provide clerical and administrative support to the front office during ASP hours.
- Assist with copying, scanning, filing, organizing documents, and other routine office tasks as needed.
- Provide additional front desk coverage when another front desk staff member is absent, as assigned.
- Maintain accurate and timely communication with staff regarding scholar or family needs that arise during ASP.
- Support the Office Manager and other Operations staff with ASP-related administrative needs.
- Perform other related duties as assigned to support the safe and effective operation of ASP and the front office.
- High school diploma or equivalent required.
- Must be bilingual in English and Hmong.
- Strong verbal communication and customer service skills.
- Ability to communicate effectively and professionally with scholars, families, staff, and community members.
- Ability to remain organized and manage multiple priorities in a fast-paced environment.
- Dependable and able to maintain consistent attendance during scheduled ASP hours.
- Ability to work beyond 6:00 PM when required for home games, special events, or other ASP programming needs.
- Experience working in a school setting, front office, customer service, or with children preferred.
- Experience working with immigrant and refugee communities preferred.
