Quality Trusted Commercial is seeking a highly organized, detail‑oriented, and able to work well in a fast‑paced environment Service Administrator to join our roofing team. The Service Administrator plays a key role in supporting the daily operations of the roofing service department. This position is responsible for processing invoices, managing technician timecards, assisting with scheduling service crews, and providing administrative support to ensure efficient and timely completion of service projects.

Key Responsibilities
  • Serve as the primary administrative point of contact for the service department.
  • Maintain accurate job files, documentation, and service records.
  • Handle inbound calls, emails, and customer inquiries regarding service work.
  • Prepare, review, and process invoices for completed service jobs.
  • Verify job costs, materials, and labor before invoicing.
  • Coordinate with accounting to ensure accurate billing and timely payment collection.
  • Collect and review daily and weekly timecards from field technicians.
  • Verify accuracy of hours, job codes, and overtime entries.
  • Submit completed timecard reports to payroll according to company deadlines.
  • Assist in scheduling service technicians for daily and emergency service calls.
  • Assist in communicating schedules, job details, and updates to field crews.
  • Coordinate equipment, materials, and permits needed for scheduled service work.
  • Provide updates to customers regarding job status, scheduling, and follow-up work.
  • Prepare and send service reports, proposals, and warranty information when needed.
  • Maintain a professional and customer‑focused approach in all communications.
  • Enter job information into company systems (CRM or project management software).
  • Generate reports for service performance, job status, and invoicing as needed.
  • Track open jobs, pending invoices, and outstanding customer approvals.
Qualifications
  • Excellent communication and customer service abilities.
  • Previous experience in service coordination, customer service, or administrative roles (construction/roofing industry experience a plus).
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to work in a fast‑paced environment and handle urgent service requests.
  • Basic understanding of roofing terminology, materials, and processes (preferred but not required – training provided).
  • Proficiency in Microsoft Office (Word, Excel, Outlook), experience with CRM/project management tools preferred.
Work Environment
  • Office‑based position with regular communication with office & field personnel
  • May require occasional early morning coordination for service dispatch
  • Standard business hours (7am-4pm) with some flexibility based on scheduling needs

Final compensation will be based on experience, skills, and location.

US Pay Range: $28 USD - $35 USD
