We are looking for a dependable Administrative Assistant / Executive Support Assistant to help keep daily operations organized, professional, and on track. This position supports executive leadership with scheduling, communication, document preparation, filing, follow-up, and general office support. The right person will be organized, respectful, careful with private information, and comfortable working in a busy environment where priorities can change during the day.
WhatYou’ll Do
- Manage calendars, schedule meetings, confirm appointments, prepare agendas, and send reminders.
- Answer, screen, and return phone calls, emails, and messages in a professional and respectful manner.
- Prepare, type, edit, scan, file, and organize letters, forms, meeting notes, reports, invoices, receipts, policies, and business records.
- Track tasks, due dates, renewals, licenses, insurance documents, compliance items, payments, training records, and follow-up items.
- Maintain organized electronic and paper files so records can be found quickly when needed for daily operations, payroll, HR, accounting, audits, inspections, or meetings.
- Assist with basic hiring and onboarding tasks, including interview scheduling, new hire packets, reference checks, credential tracking, training reminders, and employee file organization.
- Draft and send approved emails, reminders, and follow-up messages to staff, vendors, customers, residents, case managers, agencies, contractors, or other business contacts.
- Help prepare for meetings, inspections, site visits, business reviews, and projects by gathering documents, printing materials, organizing notes, and documenting next steps.
- Assist with bookings.
- Run approved business errands or assist with office tasks such as mailing documents, ordering supplies, arranging services, coordinating repairs, and organizing work areas.
- Use Microsoft Word, Excel, Outlook, Teams, Google Workspace, PDF tools, phone systems, shared folders, calendars, and other approved software.
- Complete other reasonable administrative duties as assigned based on business needs.
- Associate degree preferred. A high school diploma or GED with related office, administrative, healthcare, business, customer service, or executive support experience may also be considered.
- Ability to read, write, speak, and understand English well enough to communicate clearly and complete business documents.
- Basic computer skills, including email, calendar management, typing, saving documents, scanning, printing, and basic spreadsheet use.
- Strong organization, follow-through, and attention to detail.
- Professional communication skills and the ability to speak respectfully with people from different backgrounds.
- Ability to maintain confidentiality and follow company policies, directions, deadlines, and approved communication practices.
- Reliable attendance, punctuality, and ability to manage assigned work with limited supervision after training.
