ABOUT THE POSITION:
Urban Dove seeks an Office Manager to oversee financial, administrative, and operational integrity across teams. The Office Manager will collaborate with the Leadership Teams of both organizations to oversee financial, administrative, human resource, and facility operations, ensuring operational accuracy and integrity. This role will allocate time between coordinating tasks and optimizing integration as required at one of our UD Team Charter campuses.

ABOUT THE ORGANIZATION:
Urban Dove Team Charter School (UD Team) is a distinctive network of sports-based high schools catering to over-aged, under-credited youth. We fuse a robust academic curriculum with sports-based youth development, ensuring our graduates receive a diploma, a stepping stone for higher education, and essential job skills.

CORE RESPONSIBILITIES:

  • Actively serve and lead by example on the school’s operations team
  • Manage and create a warm, welcoming environment for all students, family, staff, and visitors.
  • Communicate, plan, and work with network counterparts to check-in, share new ideas, and implement the “One Dove” motto.
  • Prepare weekly check-in notes and participate in check-ins with Director of Operations
  • Maintain strict confidentiality of personal student and employee data at all times.
  • Implement systems to support the work of teachers and administrative staff
  • Assist with the planning of all staff-wide celebrations
  • Work with the DOO for the planning and implementation of special events (Assemblies, Parent-Teacher Conference, Graduation, etc.)
  • Serve as an active member of the Building Response Team
  • Liaison to the school nurse
  • Manage the collection and maintenance of student, personnel, and school information (receiving forms and paperwork, tracking missing forms, managing databases, updating contact information, keeping records current, etc.
  • Independently, or in accordance with administrative instructions, develop school communications (School Messenger, Family Newsletter, Backpack Letters, Report Cards)
  • initiate contact with families or alternate contact persons as requested by school leaders and staff and assist in delivering messages or scheduling appointments.
  • Assist the Director of Operations with compliance deadlines as needed.
  • Perform administrative duties including filing, faxing, copying, documenting office procedures, maintaining supplies and merchandise, maintaining student records, and data entry
  • Support the Data Programming Associate with School Wide Exams
  • Work with DOO to coordinate school mailings and large printing needs based on the requests of school leaders
  • Responsible for monthly credit card receipt reconciliations
  • Maintain and track inventory for all school supplies
  • Maintain an efficient system for ordering of all supplies
  • In collaboration with the Operations Manager, manage the receiving and distribution of all supplies
  • Maintain up to date inventory of all supplies closets
  • Manage School Breakfast and Lunch programs
  • Manage and assist the Kitchen Coordinator to ensure families complete the Federal Lunch Program applications, checking the applications for mistakes, and submitting applications to the School District Food Services Department, ensuring an accurate FRLP.
  • Manage Food Orders for special events
  • Manage Field Trip procedures
  • Oversee student transportation via OPT, including Metro Cards and busing
  • Student Support
  • Supervise students as needed during meals, dismissal, and school-wide meetings
  • Manage student interns
  • Mentor a small group of students
Requirements
  • Bachelor’s degree from a recognized college or university, preferably in Business Administration, Finance, or a related field.
  • Master’s degree, CPA, or other advanced certifications are advantageous.
  • A minimum of 3-5 years of experience in finance within a non-profit or school setting, with charter school experience being a plus.
  • At least 2 years of experience associated with Human Resources and Administration departments.
  • Strong computer skills with advanced proficiency in Microsoft Office Suite.
  • Familiarity with financial software such as Quickbooks.
  • Experience with HR systems like ADP.
  • Comprehensive understanding of GAAP accounting principles.
