Executive Personal Assistant & Operations Partner (Full-Time, NYC)

About the Role

We’re searching for a proactive and highly trustworthy Executive Personal Assistant, with exceptional organizational and critical thinking skills. This person will act as the right hand to an established New York physician practicing in Manhattan and leading a dermatological AI company based in Brooklyn. This is a full‑time position with broad scope and considerable responsibility, encompassing both personal support and operational duties across several ventures including the AI start‑up, an airplane lease‑back company, real‑estate holdings, and an urgent care/medical clinic.

While the core of the role centers on executive support, you’ll also manage personal affairs, household logistics, occasional animal care, and serve as a liaison to business partners and vendors. Confidentiality, discretion, and anticipatory problem‑solving are essential.

Preferential consideration for applicants located near Bed-Stuy or Bushwick/surrounding areas in Brooklyn.

Compensation
  • Starting salary: $83,000+ per year, commensurate with experience and capabilities
  • Eligibility for performance‑based salary increase as responsibilities expand
  • Standard benefits package available (health insurance, PTO, etc.), in addition to reimbursement of work‑related travel and expenses
Key Responsibilities Professional & Business Support
  • Manage complex calendars, coordinate meetings, and arrange domestic/international travel for the founder and key team members
  • Handle all incoming and outgoing communications with clients, investors, partners, and staff
  • Track and reconcile business expenses, assist with budgeting and financial reporting across multiple companies
  • Plan and execute small events, including team meetings, investor presentations, and site visits
  • Assist with recruitment logistics and onboarding for new hires
  • Prepare agendas, record meeting minutes, and ensure follow‑through on action items
  • Liaise with vendors, regulatory bodies, and service providers for the plane lease‑back company, real‑estate properties, and urgent care clinic
  • Draft correspondence, maintain records, and support compliance and operational tasks
Personal & Household Support
  • Run errands, manage personal shopping, and handle household logistics (e.g., scheduling maintenance, coordinating deliveries)
  • Sporadic care for the family’s cat and house plants, oversee household organization, and ensure the residence is guest‑ready
  • Arrange personal travel, reservations, and special event planning
  • Ensure punctuality and preparedness through daily reminders and check‑ins
Qualifications
  • Experience: 3–5+ years as an Executive Assistant, Personal Assistant, or similar role; experience supporting senior executives or entrepreneurs is a strong plus
  • Education: Bachelor’s degree or equivalent professional experience preferred
  • Technical skills: Proficiency with Google Workspace, Microsoft Office, and basic accounting/expense tools
  • Soft skills: Exceptional organizational and multitasking abilities; strong verbal and written communication; high emotional intelligence and discretion
  • Flexibility: Available for occasional evenings or weekend needs, and infrequent travel; comfortable working both remotely and on‑site (approx. three days per week in Manhattan, with some scheduling flexibility)
  • Licenses: Valid driver’s license preferred but not required
