We currently seek a full-time Program Assistant to join our Workforce Development team! The Program Assistant plays a key role in ensuring the smooth and effective operation of the Trauma Informed Care program between Riker's Island and our Community based office. This individual will provide direct administrative and operational support to staff and participants by maintaining organized office systems and implementing procedures that support daily activities.
Responsibilities include general office duties, document management, scheduling support, and coordination of program materials and communications.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to work collaboratively across multiple teams. This position requires daily, on-site presence at the Brooklyn and Bronx office locations.
Salary: $26.10-$27.47 per hour
Essential Duties:
* Welcome and screen all clients and visitors upon entry and guide them to the appropriate program or staff member.
* Promote a positive image of the Osborne Association by effectively communicating the organization's mission, values, and programs to a diverse range of individuals, partners, and stakeholders.
* Maintain and enhance office operations by implementing administrative systems, procedures, and policies that support efficiency, accuracy, and a high standard of service delivery.
* Facilitate internal communication among staff by preparing meeting agendas and related materials.
* Assist with maintaining and updating the Workforce Development Events Calendar to ensure accurate scheduling and coordination of program related matters.
* Assist program staff by conducting research, compiling data and entry, and managing information within the Department of Corrections and Workforce Development database.
* Prepare reports, documents, letters, and related materials to support program delivery and participant engagement.
* Coordinate the distribution of goods and resources, proposals, manuals, and other key materials essential to program operations.
* Monitor and manage office inventory levels. Coordinate the ordering of supplies, equipment, and financial materials in accordance with internal procurement procedures.
* Able and willing to travel to Rikers occasionally, as needed to attend meetings and complete data entry assignments
* In-person attendance is required to collaborate with co-workers.
* Perform other administrative or program-related duties as assigned to support the effective operation of the department.
Requirements
Minimum Qualifications:
* High School Diploma or Equivalent
* Experience connecting people to services, providing direct support to people with criminal justice involvement
* Computer literacy and experience with data entry
* Have a good understanding of systems and creating systems to maximize efficiency
* Nonprofit experience is strongly preferred, with an understanding of the criminal justice environment, including mentorship or peer work.
