Position: Family Scheduling Coordinator (HealthCare Services)

Overview

Family Scheduling Coordinator (Full-Time) – Brooklyn, NY

We are seeking a highly organized, compassionate, and proactive Family Scheduling Coordinator to support our growing ABA services team. This role serves as a key point of contact for families, therapists, and internal teams—ensuring smooth onboarding, clear communication, and seamless scheduling from start to service delivery.

Key Responsibilities
  • Coordinate the onboarding process for new families, including welcome communications and introductions
  • Manage and confirm therapy schedules once services are approved
  • Serve as a liaison between families, Staff, and recruiting teams
  • Enter and maintain accurate scheduling information in internal systems
  • Handle schedule changes, cancellations, and ongoing adjustments
  • Respond to family and staff questions related to scheduling and services
  • Conduct proactive check-ins with families and staff after services begin
  • Support communication with schools or daycare providers as needed
  • Assist with general outreach, follow-ups, and administrative coordination

  • Excellent written and verbal communication
  • Ability to manage multiple priorities with professionalism and empathy
  • Comfortable working with families, clinical staff, and internal teams
  • Detail-oriented with strong follow-through
  • Prior experience in healthcare, ABA, homecare, or scheduling is required.
