** POSITION DETAILS
** Brooklyn College is soliciting applications for the position of Administrative Specialist in the Early Childhood Center. Reporting to the Director of the Child Care Center, the Administrative Specialist provides administrative support for the campus child care center, ensuring compliance with NYC Department of Health (DOH) regulations and managing staff files, payroll and HR functions. This position plays a key role in maintaining accurate records, supporting audits, and facilitating smooth operations for staff and families.
The Brooklyn College Early Childhood Center offers day programs for infants, toddlers, and preschool-age children for Brooklyn College student families, staff, faculty, and community. Priority is given to full-time Brooklyn College students who are grant eligible. In addition to duties listed in the CUNY Title Overview, responsibilities of the Administrative Specialist include but are not limited to: + Ensure compliance with DOH child care regulations, including staff and child health records, certifications, and inspection documentation.
+ Prepare and maintain accurate attendance sheets, enrollment forms, and billing records. + Update and maintain staff and children's files for DOH inspections. + Process payroll for daycare staff, including timekeeping, leave tracking, and adjustments in systems such as CUNYfirst + Work with appropriate offices and personnel related to timely appointments and re-appointments + Respond to inquiries from parents, staff, and regulatory agencies regarding policies and procedures.
+ Schedule appointments, maintain calendars, and coordinate special events. + Assist with audits and inspections by DOH and CUNY compliance teams. + Assists with determining staff assignments and scheduling.
** QUALIFICATIONS*
* ** Minimum Qualifications** + Bachelor's Degree and four years' relevant experience required.
** Preferred Qualifications** + Four years of administrative experience in child care or education settings. + Knowledge of DOH child care center regulations and payroll processes. + Proficiency in Microsoft Office and CUNYfirst. + Strong organizational and communication skills. + Ability to handle confidential information and maintain accurate records.

- Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
- Works with appropriate offices related to personnel recruitment, expediting search activities - Research coordinates and organizes materials for key events such as promotion and tenure reviews.
- Supervises and trains support staff and student workers.
- Manages budget and coordinates purchasing, accounting, and payroll.
- Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
