Lead Mailroom Associate

This role sits within Etsy's Workplace Experience team, supporting Etsy's Brooklyn headquarters. Workplace Operations is responsible for day-to-day office operations — including mailroom, deliveries, meeting room setup, and building walkthroughs — for employees and guests across multiple floors. This is a fast-paced, hands-on environment where priorities shift throughout the day and the person in this role will need to work closely with the rest of the Workplace Operations team.

We're looking for a Lead Mailroom Associate to take direct ownership of mailroom operations — receiving, sorting, and distributing incoming mail and packages; managing outgoing mail and shipping; and serving as the primary point of contact for mail-related questions across the office.

Responsibilities include:

• Own end-to-end mailroom operations: receive, sort, log, and deliver incoming mail and packages; prepare, weigh, and process outgoing mail with correct postage
• Maintain accurate mail logs and tracking records (date received, sender, recipient) for retrieval and audit purposes, and produce mailroom activity/inventory reports as needed
• Manage courier and postal vendor relationships — securing competitive rates, comparing shipping options, and ensuring timely, reliable delivery
• Review incoming mail for security concerns, and resolve escalated mailroom issues in coordination with other departments
• Maintain mailroom supplies, equipment, and overall organization, keeping the space free of backlog or clutter
• Serve as the point of contact for employee questions about postage, rates, loading dock, and shipping timelines
• Audit postal paperwork and support payroll/accounts payable mail printing and distribution as needed
• Train and guide additional team members to provide coverage as needed
• Occasionally, support the Workplace Operations team with conference and event setup or special projects.

• Hands-on mailroom or shipping/logistics experience in a commercial office or corporate environment
• Strong organizational skills and comfort managing physical inventory, packages, and time-sensitive deliveries
• Clear, professional written and verbal communication for handling employee requests and vendor coordination

Additional

Skills:

• Experience with mail tracking/scanning systems
• Familiarity with USPS, Fed Ex, UPS, and courier account management
• Proficiency with Google Suite (Docs, Sheets, Gmail) and Slack
• Ability to lift and move up to 50 lbs and be on your feet for extended periods
• Prior experience working within an e-commerce company is a plus.
