The Executive Business Assistant provides high-level operational and business development support to the CEO, managing both strategic business initiatives and day-to-day executive needs. This role serves as a critical extension of the CEO's capacity, handling everything from lead qualification and meeting preparation to personal logistics and studio space management. The ideal candidate thrives in a dynamic environment, balancing strategic thinking with hands-on execution.
Key Responsibilities Business Development Support (60%)- Pre-qualify inbound leads using established criteria and client personas
- Conduct preliminary research on prospective clients and prepare briefing materials
- Prepare pitch materials, decks, and presentations for CEO review
- Schedule and coordinate business development meetings and follow-ups
- Maintain CRM system and track sales pipeline metrics
- Review Draft initial outreach communications and follow-up emails ( Supported by the VA )
- Coordinate with the content team to create case studies and collateral
- Attend select client meetings to capture notes and action items ( Convert any AI notes into action items for the CEO)
- Manage CEO's calendar, including scheduling and optimization
- Prepare meeting agendas, briefing documents, and post-meeting recaps - 24 hr
- Handle meal arrangements, restaurant bookings, dining logistics, doctors, hair, nail appointments (Friday’s)
- Coordinate travel arrangements (flights, accommodations, ground transportation)
- Act as liaison between CEO and internal team on time-sensitive matters across finance, legal, client projects, operations, content and office
- Manage studio space bookings and coordinate with the Operations Manager on space logistics
- Occasional travel with CEO for major events, client meetings, or conferences (estimated 2-4 times per year)
- Handle ad-hoc projects and requests that support the CEO's priorities
- Handle personal logistics: travel, household coordination, key dates, and financial organization
- Support life-planning projects (moves, travel, wellness routines, etc.)
- 2-3 years of experience in executive support, business development, or operations
- Exceptional creative organizational skills and attention to detail
- Strong business acumen and ability to understand client needs quickly
- Excellent written and verbal communication skills
- Proactive problem-solver who anticipates needs before they arise
- Comfortable working independently with minimal supervision
- High level of discretion and professionalism
- Tech-savvy with proficiency in Google Workspace, CRM systems, and project management tools
- Must be based in Brooklyn, NY or willing to relocate (this is an in-person role)
- Experience in events, experiential marketing, or creative industries
- Background in sales support or business development
- Familiarity with the creative/agency ecosystem
- Strong network or interest in building connections in the events/experiential space
