Heartshare is seeking a strategic, highly organized, and mission-driven Chief of Staff to support the Deputy Executive Director/Chief Program Officer (DED/CPO). This key leadership role will serve as a trusted partner to the DED/CPO, driving cross-functional coordination, advancing strategic initiatives, and ensuring operational excellence across programs. The Chief of Staff to the Deputy Executive Director/Chief Program Officer (DED/CPO) forHeartshare
St. Vincent’s Services will support the DED/CPO to translate strategic vision into coordinated action across St. Vincent’s Services. The role will act as an extension of the DED/CPO and provide operational leadership by managing executive-level communications, facilitating collaboration across the division, and supporting the continuous improvement of operational systems and workflows.
- Translate the DED/CPO’s strategic vision into actionable plans, ensuring alignment with the agency’s mission, goals, and long‑term priorities.
- Anticipate and identify critical issues, risks, and roadblocks; partner with departmental leaders to develop solutions and maintain momentum toward strategic objectives.
- Represent the DED/CPO and the agency at meetings, events, and external engagements, ensuring consistent messaging and strong stakeholder relationships.
- Lead the development and preparation of high‑quality briefings, presentations, and reports for internal and external stakeholders, ensuring accuracy, clarity, and strategic alignment.
- Plan and manage agendas for leadership meetings, retreats, and agency events; document key decisions and drive follow‑up actions to completion.
- Build strong relationships across all levels of the organization—from frontline staff to senior executives—serving as a trusted liaison who facilitates communication, problem‑solving, and cross‑departmental collaboration.
- Monitor operational strategies and coordinate organizational processes to enhance efficiency, streamline workflows, and improve overall performance.
- Manage highly confidential inquiries and communications; develop action plans and support the preparation and dissemination of timely, well‑informed responses.
- Identify operational gaps and opportunities for improvement, recommending solutions that strengthen organizational effectiveness.
- Respond to inquiries and act on behalf of the Deputy Executive Director/Chief Program Officer (DED/CPO) to ensure continuity and clarity in decision‑making.
- Provide data analysis and insights to support initiatives, inform strategy, and guide decision‑making.
- Execute special projects and emerging priorities as assigned by the DED/CPO.
- Minimum 7 years of professional experience in project management, operations, strategy, or leadership role.
- Bachelor’s degree required; master’s degree preferred.
- Experience working with government officials and NYS/NYC oversight agencies strongly preferred.
- Advanced proficiency in Microsoft Office and familiarity with common business applications.
- Exceptional organizational skills with meticulous attention to detail and the ability to manage multiple priorities in a fast‑paced environment.
- Strong analytical capabilities, including the ability to interpret data, generate insights, and influence decision‑making.
- High emotional intelligence, sound judgment, and demonstrated success building relationships across diverse teams and presenting to executive‑level audiences.
- Outstanding written and verbal communication skills.
- Proven track record of managing complex projects, driving initiatives, and delivering results.
