Student Account Coordinator
The job of Student Account Coordinator is done for the purpose of providing financial and secretarial support to assigned administrator and department; establishing and maintaining data collection and department records; coordinating assigned reports and department projects; and compiling and distributing a wide variety of program materials.
Essential Functions- Serves as a point of contact to assist visitors, prospective students, current students, graduates, employees, other school officials, government agencies, and public in person, via phone, mail, and email for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Prepares a variety of correspondence, reports and other materials (e.g. letters, memorandums, minutes, charts, meeting preparation, periodic and ad-hoc reports, etc.) for the purpose of documenting activities, providing written references, and/or conveying information.
- Process enrollment applications, track required documentation, communicate with applicants about enrollment status, maintain communication log, support coordination of orientation, and onboarding for new applicants.
- Compiles, processes, and utilizes data (e.g. enrollment, demographics, work orders, budget reports, specialized reports, personnel and attendance records, agreements with clinical sites, etc.) for the purpose of preparing reports or processing requests for a variety of postsecondary quarterly and annual reports and for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Maintain and reconcile student financial information, files and records (e.g. student accounts, Financial Aid disbursements, grant disbursement, scholarships, tuition reimbursement and military or veteran's benefits;) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines. Inform students, staff, and/or outside parties regarding procedural requirements for the purpose of processing transactions.
- Counsels and advises students regarding the tuition and fee payment process and options available to discharge the obligation including but not limited to payment plans, student loans and personal payment arrangements with the school. Provides assistance with customer service, parent/student interactions and dispute resolution. Maintains the accuracy of student tuition and fee accounts and oversees the billing and receipt process to ensure timely and accurate billing statements for students.
- Processes program financial information (e.g. vendor bills, invoice requests, checks, deposits) for the purpose of updating and distributing information, authorizing for action and/or complying with established accounting practices.
- Process a variety of documents and materials (e.g. purchase orders, requisitions, mail, phone calls, etc.) for the purpose of disseminating information to a variety of databases (e.g. EFinance Plus, calendars, schedules, Power School, etc.) for the purpose of ensuring accuracy in compliance with established administrative guidelines.
- Research assigned topics (e.g. current practices, policies, education codes, etc.) for the purpose of providing information that address school operations.
- Prepares for and attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.
- Maintains inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring a constant workflow.
- Supports assigned administrative personnel for the purpose of aiding with their functions and responsibilities between DCTS and DCIU as necessary; develop partnerships with area businesses; present updates to Occupational Advisory Committee (OAC) for the purpose of supporting the Perkins program and DCIU initiatives.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
