Our client, in the luxury space, is seeking a poised and professional Front Office & Executive Services Coordinator to join their onsite team in Broomfield, CO. As the Front Office & Executive Services Coordinator, you will be the first point of contact for clients, guests, and internal leaders. Your role will be essential to creating a positive and lasting impression while supporting the daily logistics that keep a high-profile office running smoothly.
Key ResponsibilitiesFront Desk & Visitor Management – 40%
Greet and sign in guests, manage visitor badges, and direct incoming calls with professionalism and discretion
Serve as the public face of the organization as the Front Office & Executive Services Coordinator
Maintain a clean, organized, and welcoming reception area
Office Coordination & Supplies – 30%
Order and track office and kitchen supplies
Assist with internal meetings, lunch orders, and light event coordination
Monitor inventory and proactively manage office needs
Executive Transportation Coordination – 20%
Coordinate hotel, rental car, and transportation arrangements for traveling executives
Track travel logistics and provide timely updates to internal teams
As the Front Office & Executive Services Coordinator, ensure all arrangements reflect the company's high standards
Administrative & Reporting Support – 10%
Assist with basic data entry and preparation of executive expense reports (Concur)
Track office activity, including number of visitors and supply usage, using Excel
Provide day-to-day administrative support and function as a reliable resource for internal staff
Must-Haves:
Experience as a receptionist or office coordinator in a polished, professional environment
Excellent interpersonal skills with a calm, composed, and polished demeanor
Proficiency with Microsoft Office (Outlook, Word, Excel, Teams)
Ability to handle confidential matters with discretion and maturity
High level of organization and attention to detail
Preferred Qualifications:
Familiarity with Concur or other expense management tools
Experience coordinating executive travel or logistics
Comfort with light data tracking and reporting in Excel
