Responsibilities
- Work within the iFortress program to collect pickup and drop off tool data, coordinating with all US district managers to ensure accuracy of quantities on delivery forms.
- Enter reconciled iFortress data into the correct invoicing template.
- Create sales orders in Prophet 21 (Fortress’ ERP system) for all new pads and coordinate with customers for purchase orders when applicable.
- Participate in creating Rebuild Kits in Prophet 21 to ensure invoicing (relieving inventory) can be achieved effectively.
- Maintain constant communication with all customers to resolve all discrepancies and monitor possible invoicing issues.
- Collaborate with Fortress Operations and Accounting teams to ensure accurate invoicing process flow.
- Ensure accurate and timely distribution of invoices to customers.
- Maintain open line of communication with customers’ Accounts Payable departments to capture and communicate any billing changes.
- Communicate with customers’ operations managers to ensure correct billing is invoiced and Fortress’s billable tools match the customer’s billable tool count.
- After invoicing, participate in all AR efforts to ensure timely payment to Fortress and report progress to management.
- Maintain a professional customer‑service mentality, assisting both Fortress’ US districts and customer base.
- Perform additional administrative or clerical duties as assigned.
- High school diploma or equivalent.
- At least 4 years of administrative work experience.
- Experience with ERP systems, accounts receivable, and accounts payable is preferred.
- Working hours to be identified by manager (day shift).
- Effective written and oral communication skills.
- Clear and timely communication in all areas of responsibilities.
- Ability to work well with minimal supervision.
- Build strong customer relationships and deliver customer‑centric solutions.
- Apportion time effectively to complete tasks.
- Provide colleagues with necessary information to complete tasks and eliminate roadblocks.
- Consistently achieve results, even under tough circumstances.
- Basic computer skills – Microsoft Outlook, Word, Excel.
- Data entry proficiency.
- Basic knowledge of filtering, creating pivot tables, etc.
