Position OverviewThe Office Manager is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. This includes overseeing office services, supervising office support staff, maintaining office records, and performing other administrative duties. Must maintain good working relationships with staff and volunteers.
Responsibilities- Office Operations
- Oversee office operations and procedures
- Organize, inventory, and order office supplies
- Supervise the Council Retail Store (Scout Shop) and inventory
- Ensure a clean and organized office
- Act as back-up for the receptionist, registrar, and Scout Shop as needed
- Support Staff Oversight & Development
- Supervise office support staff (2-5 employees)
- Provide on-the-job and other cross-training opportunities
- Evaluate office support staff performance
- Coaching and disciplining office support staff
- Maintain Office Records
- Ensure filing systems are maintained and up to date
- Follow BSA procedures for record retention
- Maintain confidentiality & security of all personnel and financial information of the Council, employees, volunteers, and donors
- Data Entry, Billing, & Accounting
- Ensure deposits are delivered to the bank daily
- Maintain a schedule of accounts payable
- Prepare documents and confirmation letters as requested by auditors
- Maintain donor contribution records, including data entry, preparing cards, and billing
- Track, code, and submit bills for approval to ensure on-time payments
- Administrative Duties
- Provide support for staff and volunteers for the annual popcorn sale
- Organize/disseminate materials and coordinate RSVPs for Executive Board & Executive Committee meetings
- Take minutes at Executive Board & Executive Committee Meetings
- Support the C.E.O. in administrative needs
- High School Diploma or GED with 5+ years of relevant work experience
- Excellent written, spoken communication, and interpersonal skills
- Minimum typing skills of 50 wpm required
- Intermediate to advanced skills in Microsoft Outlook, Word, Excel, and Adobe Acrobat
- This is a full-time, non-exempt position. The Council’s office hours are 8:30 a.m. – 5:30 p.m. Some nights and/or weekends will be required
- Associate or Bachelor’s Degree
- Blackbaud or other nonprofit constituent database software experience
- Experience in accounting and staff management
- Familiar with the Scouting program and terminology
- Salary range of $47,500 – $52,500
