Position OverviewDeLoach Sotheby’s International Realty is seeking a highly organized, polished, and proactive Office Manager & Front Office Coordinator to oversee daily office operations and serve as the welcoming first point of contact for our boutique real estate brokerage. This role is essential to the smooth functioning of the office and serves as the central point of coordination for systems, facilities, agents, leadership, the executive assistant, and the marketing manager.
While the office is steady day to day, there are periods that require multitasking and responsiveness, balanced with quieter times that call for a self-starter who takes initiative, stays organized, and continuously improves systems and workflows. The ideal candidate enjoys working with people, is extremely detail-oriented, very computer-savvy, and comfortable taking ownership of office systems and operations.
- Open and close the office daily
- Serve as the first point of contact by answering incoming calls, greeting clients and visitors, routing inquiries appropriately, and taking clear, professional messages
- Manage front office operations and day-to-day client communications
- Keep supply cabinets stocked, organized, and tidy
- Support listings, contracts, MLS, DASH, and internal systems
- Take and distribute meeting notes and assist during meetings by pulling up listings
- Work closely with the Marketing Manager
- Assist with agent communication regarding licensing and compliance
- Maintain a professional, welcoming office environment
- Highly organized, proactive, and polished
- Comfortable multitasking during busy periods and working independently during slower times
- Very computer-savvy and quick to learn new systems
- Enjoys supporting a team and interacting with clients
- Strong customer service focus with a professional, welcoming demeanor
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Experience with front office coordination, scheduling, and daily office operations
- Proficiency in common office software (Microsoft Office Suite or similar)
- Real estate experience or an active real estate license is a plus, but not required for the right candidate
