Position Summary

The Office Assistant is an entry-level position responsible for supporting daily administrative operations, assisting with data tracking, and ensuring effective communication between office staff and field crews. This role requires strong attention to detail, organization, and communication skills to help maintain accurate records and keep projects running smoothly.

Key Responsibilities
  • Assist with recording and updating crew time daily
  • Communicate with crew members to verify accuracy of submitted time
  • Track and report missing items as needed
  • Enter and maintain data in tracking systems, including time records, missing items, and Spendwise purchases
  • Record supply purchases in Spendwise for tracking and reporting purposes
  • Maintain and update the calendar of special projects
  • Monitor project progress and provide updates to Sales, Executive, and Operations teams
  • Assist the Sales Manager with special projects, client support, and on-site needs as required
  • Serve as backup support for phones and front office operations
  • Provide general administrative support to the office team as needed
  • Other tasks as assigned by management
Qualifications
  • Entry-level position; prior office experience is a plus but not required
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks and stay organized

    Basic computer and data entry skills
  • Strong verbal and written communication skills
  • Ability to work both independently and as part of a team
  • Office-based role with occasional interaction with field crews and on-site support as needed
  • Fast-paced environment requiring flexibility and strong organizational skills
