Missions

The municipality of Ramonville Saint-Agne has a non-medicalized autonomy residence on its territory. This establishment, with 50 housing units, accommodates people with an average age of 84 years who are valid and autonomous. The teams work within this facility 24/7 to ensure the well-being of residents. To ensure the proper functioning of the Residence, the assistant director plays a central role in connection with the entire team, the director, the community, and the service providers.

Under the responsibility of the director of the Francis Barousse Autonomy Residence, you will ensure a daily general administrative and accounting mission.
1. Accounting management
• Management of the expenditure and revenue ledger
• Budget monitoring: in connection with the Director and the accountant, participation in the preparation of the Budget Primitive/Budget Supplementary/Administrative Account
• In connection with the Director and the other reception agent: edition of purchase orders and validation of supplier invoices
• Management of invoicing, reimbursement of deposits, payment follow-up, regularization on invoices, management of unpaid amounts in connection with the finance service of the town hall
• Follow-up of the invoicing of meals with the accountant of the EHPAD and the laundry
2. Management of schedules and corresponding HR
• Management of the two schedules of the residence agents: reception and catering (the latter in connection with the catering manager)
• Management of the leave of the agents and planning
• Management of absences and punctual replacements in connection with the catering manager
• Establish the count of hours performed by the agents
• Corresponding HR: ensure the link with the competent service of the town hall and transmit information to the concerned service (hours, absences, illnesses, strikes, contracts,...)
• Be the reference of the agents with the Direction (descent and ascent of information) 3. Management of resident files
• Management of resident absences, dissemination of information internally and externally (nurses, auxiliary life and other interveners) and update of presence plannings in the establishment
• Management of resident evaluation files (GMP) in connection with the Departmental Council
• Update and management of resident files (update and follow-up): by means of dematerialization (software BL Residents) and in paper version.
• Administrative and accounting follow-up of social aid files, APA and APL and execution of aids
• Writing of letters, various certificates (CAF, rent receipts) in connection with the reception agent

Profile Sought

• Diploma BTS assistant of direction or of administrative management
• Desired experience of one year in an administrative assistant or director position Technical skills
• Knowledge of the public service
• Knowledge of the rules of management of files
• Notions of accounting and human resources
• Knowledge of the computer tool
• Proven skills in assistance to the elderly Qualities expected
• Logical organization
• Dynamism, autonomy and sense of initiative
• Availability, sense of organization, great writing qualities and relational skills
