Position: HIRING – TechPlace Coordinator

Tech Place | Midcoast Regional Redevelopment Authority (MRRA)

Location: Tech Place, Brunswick Landing, Brunswick, Maine
Schedule: Full Time, 40 hours/week, Monday-Friday, 8:00 a.m. to 5:00 p.m.
Work Arrangement: On-site
Reports To: Tech Place Director
Pay Range: $21.00-$26.00/hour (DOE) plus generous benefits

About the Role

The Administrative Assistant serves as the operational backbone of Tech Place and is often the first person members, visitors, and business partners meet.

This role combines administrative support, customer service, facility operations, communications, event coordination, and social media management. Success requires strong organization, excellent judgment, attention to detail, and the ability to manage multiple priorities in a fast-moving environment.

One hour you may be updating records, reconciling spreadsheets, or drafting a member communication. The next, you may be welcoming a visitor, coordinating an event, or helping a startup tenant solve a facility issue.

The variety is part of what makes this role rewarding.

This is an on-site position and requires a consistent physical presence in the building.

What You’ll Do

Member & Visitor Services

  • Welcome guests, answer phones, and serve as a professional first point of contact
  • Respond to member requests promptly and courteously
  • Assist visitors, vendors, contractors, and business partners

Administrative Operations

  • Maintain accurate member records, agreements, insurance certificates, and access documentation
  • Manage office correspondence, schedules, and administrative processes
  • Support reporting and tracking activities across multiple projects

Excel & Data Management

  • Create and maintain spreadsheets for occupancy tracking, event participation, work orders, inventory, and budget monitoring
  • Sort, filter, organize, and summarize information accurately

Communications & Social Media

  • Draft facility notices, member communications, and welcome materials
  • Create and schedule content for Linked In, Facebook, and Instagram
  • Highlight member achievements, events, announcements, and company success stories
  • Work with the Director to maintain a consistent organizational voice

Facility & Office Coordination

  • Coordinate conference room scheduling
  • Manage mail, office supplies, and common areas
  • Track maintenance requests and vendor service needs
  • Help ensure the facility remains professional, organized, and welcoming

Events & Special Projects

  • Assist with member events, networking programs, student tours, and community gatherings
  • Support marketing initiatives, outreach activities, and process improvements
  • Take ownership of projects and identify opportunities to improve operations

What We’re Looking For

Required Qualifications

  • Strong proficiency in Microsoft Office, particularly Excel
  • Excellent written communication and proofreading skills
  • Comfortable using Linked In, Facebook, and Instagram in a professional setting
  • Strong organizational and multitasking abilities
  • Exceptional attention to detail
  • Ability to work independently and prioritize effectively
  • Dependable attendance and strong work ethic
  • Experience with Canva or similar design tools, or ability to learn quickly
