This position is ideal for an experienced administrative professional who enjoys working in a client-focused environment, combining executive support, client administration, and financial follow-up.
You will work closely with one or several Client Relationship Managers and play a key role in ensuring excellent service delivery to clients.
Your Responsibilities as Client Administration Officer
As a Client Administration Officer, you will provide comprehensive administrative support while ensuring a high level of service to both clients and internal stakeholders.
Administrative & Executive Support
Managing complex agendas and coordinating meetings
Screening and handling calls, emails, and correspondence
Welcoming clients and visitors
Organizing meeting rooms and coordinating logistics
Preparing presentations and administrative documentation
Managing and maintaining client files and archives
Ensuring smooth communication between clients, advisors, and internal teams
Maintaining and updating client information in internal databases
Client & Financial Administration
Supporting the opening of bank accounts in coordination with Compliance
Following up on investment-related administrative processes
Processing and monitoring financial transactions and investment orders
Preparing reports, dashboards, and administrative analyses
Ensuring accurate and compliant client documentation
Supporting advisors in the day-to-day management of client relationships
Your Profile as Client Administration Officer
Bachelor in Office Management, Management Assistant, or equivalent experience
Minimum 5 years of experience in a similar administrative support role
Experience with in a professional services environment (financial services, consulting, legal, wealth management, etc.) is a strong asset
Excellent knowledge of Dutch , with a good command of French and English
Strong administrative and organizational skills
Affinity with numbers and financial environments
Excellent communication and interpersonal skills
Ability to manage multiple priorities and work independently
Strong attention to detail and accuracy
Service-oriented, proactive, and solution-driven mindset
High level of discretion and professionalism
Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
Experience with CRM systems or databases is an asset
