The Payroll Systems Specialist is primarily responsible for accurately calculating and processing employee payrolls for our clients. This includes deductions and taxes, ensuring compliance with all federal, state, and local regulations, while maintaining detailed payroll records and generating necessary reports for clients, all within the framework of the Firm's accounting practices; essentially, they manage the payroll function for the Firm's clients, ensuring timely and correct payments to employees while adhering to legal requirements.

Job Duties
  • Determining gross pay based on hours worked, calculating federal and state income taxes, Social Security and Medicare with holdings, health insurance premiums, retirement contributions, and any other applicable deductions.
  • Inputting employee time data into the payroll system, generating paychecks, and ensuring timely distribution.
  • Keeping accurate records of employee information, including earnings, deductions, and tax with holdings, to comply with regulations and for auditing purposes.
  • Preparing and submitting payroll tax returns to federal and state agencies on a timely basis.
  • Staying updated on changes in payroll laws and regulations, ensuring the firm's clients are compliant with all relevant requirements.
  • Answering client questions regarding payroll issues, explaining payroll deductions, and providing support with payroll-related concerns.
  • Creating payroll reports for clients, including summaries of earnings, deductions, and taxes withheld.
  • Performing regular checks on payroll calculations to identify any discrepancies or errors.
Education Requirements
  • High school diploma or GED required.
  • Associate degree, business coursework, or administrative support training preferred.
Experience Requirements
  • At least one year of administrative, office support, receptionist, or clerical experience preferred.
  • Strong organizational skills with the ability to prioritize multiple responsibilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and common office software.
  • Professional demeanor with strong attention to detail and customer service skills.
Preferred Qualifications
  • 2 years of previous experience supporting payroll departments
  • Experience with scheduling, document preparation, recordkeeping, and office coordination is preferred.
  • Familiarity with business software, office equipment, and data entry systems is considered an asset.
  • Individuals who demonstrate initiative, adaptability, and professionalism are well positioned for success as a Payroll Administrator.
Physical Capabilities
  • Ability to remain seated or stand for extended periods while performing office tasks.
  • Frequent use of computers, telephones, and other standard office equipment.
  • Occasional lifting or moving of office supplies and materials up to 20 pounds.
  • Ability to communicate effectively with coworkers, customers, and visitors.
