The Business Administrator II, under general supervision, manages the full range of business activities, including reviewing and approving business documents and developing, monitoring, and reporting accounts, budgets, and other quantitative data.
Responsibilities- Serve as an approver and backup signer of vouchers and requisitions.
- Review and approve account reconciliations of unit accounts.
- Assist with the management of financial transactions, including assigning costs to appropriate accounts and projects.
- Monitor and control unit expenditure plans within budget guidelines and make projections.
- Develop annual budget documents for approval.
- Manage accounts receivable activities, including coordination of invoicing, monitoring outstanding balances, and ensuring timely collection and reconciliation of revenues.
- Plan, implement, coordinate, monitor, and evaluate policies and procedures and monitor compliance with policies and procedures.
- Develop and recommend policies, procedures, and guidelines.
- Develop and approve schedules, priorities, and standards for achieving goals.
- Act as an office manager, coordinating and evaluating business function, division, or department activities.
- Manage annual fiscal year closing activities.
- Resolve operational and procedural financial problems.
- Prepare and analyze business reports, manage allocations and reporting, and perform analysis of resource allocations and operating fund requirements.
- Provide guidance and support to faculty, staff, and students on travel, purchasing, and reimbursement processes.
- Manage cash handling activities and unit capital equipment purchasing.
- Provide oversight and guidance for student organization financial activities, ensuring compliance with institutional policies.
- Serve as a liaison with financial, payroll, and human resources units.
- Interpret system policies and regulations and university rules.
- Maintain unit business files.
- Identify business‑related needs and problems and propose solutions.
- Implement and audit business procedures and train staff on new and existing procedures.
- Provide advice on administrative and fiscal procedures.
- Conduct surveys of customer needs and satisfaction.
- Coordinate donor gift and recognition activities as necessary.
- Conduct special investigations, program analysis, and research studies.
- Serve as a resource to principal investigators for grant development, administration, and reporting.
- Participate in the hiring and training of subordinate business staff and student workers.
- Supervise staff and resolve staff conflicts as required.
- Perform other duties as assigned.
- Bachelor’s degree or equivalent combination of education and experience.
- Six years of related experience.
Skills and Abilities
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook, and video conferencing applications.
- Strong interpersonal and communication skills.
- Strong planning and organizational skills.
- Ability to multitask and work cooperatively with others.
- Comfortable working outside normal office hours as needed.
- Degree in accounting, business, or finance.
- Experience in managing business operations.
- Experience in TAMUS systems and regulatory environment including FAMIS/Canopy, Aggie Buy, Laserfiche, Workday, Emburse, Cash Handling, and iPayments.
