Job DescriptionThe role plans and coordinates day‑to‑day activities to support Faculty Affairs initiatives across the college.
Responsibilities- Faculty Evaluation Management: Coordinate faculty evaluations (annual, mid‑term, promotion and tenure, post‑tenure, department head, and endowed position). Develop and deliver training on forms, procedures, and Faculty
180 use. Create, update, distribute, and evaluate templates and documents. Provide administrative support to the VCOM Promotion and Tenure Committee. Review and verify evaluation documents, offer feedback, and incorporate improvements. Manage the college‑wide use of Faculty
180, ensure compliance with policies, assist in establishing goals and procedures. Monitor processes, prepare operational and special reports, and collaborate with departments. Collect data and produce reports for the Senior Associate Dean, Dean, and Vice Provost. - Faculty Affairs Support: Support the daily operations of the VCOM Office of Faculty Affairs. Serve as the primary contact for Faculty Affairs e‑mail inquiries. Arrange facilities services, prepare vouchers, purchase orders, requisitions, and coordinate with accounting. Collaborate with departments to facilitate faculty affairs initiatives.
- Administrative Support: Manage calendars, travel coordination, budgeting, billing, and Emburse reports. Handle sensitive academic communications. Assist official correspondence, coordinate meetings, seminars, special events, logistics, and scheduling. Provide support for faculty committees, including survey development, scheduling, and minute‑taking. Serve as ALT‑APO for the office of faculty affairs and assist with strategic planning.
- Cross‑training in support of Faculty Affairs actions: Assist the Affiliate Faculty Portal (applications, management, employment verification, and email concerns). Assist with faculty annual review process. Coordinate and analyze affiliate portal records, databases, and usage statistics for reporting and strategic planning. Assist with data management, execution, and attendance at unit and college events. Develop and update training materials and deliver training.
Education and Experience
Bachelor’s degree or equivalent combination of education and experience. Four (4) years of related experience in administrative or higher education.
Preferred Qualifications- Experience in Faculty Affairs.
- Experience working with faculty reviews.
- Ability to multitask and work cooperatively with others.
- Proficiency in word processing, spreadsheet, and database applications.
- Strong verbal and written communication skills.
