Job DescriptionPURPOSE :
To work in partnership with the Medicaid Specialist and Student Services by providing administrative, clerical, and logistical support for the District’s Medicaid program. This role assists in ensuring accurate documentation, maintaining comprehensive records, and facilitating the day‑to‑day operational needs of the department to maximize program efficiency.
- Valid AZ DPS IVP Fingerprint Clearance Card
- Minimum of High School Diploma or equivalent certificate (required)
- Valid Driver’s License
- Experience in clerical, data entry, or administrative support roles preferred
- Familiarity with special education programs or Medicaid processes preferred
- Strong organizational skills and attention to detail
- Working knowledge of computers, databases, and office software
- Exhibited ability to work independently and exercise professional judgment
- Working knowledge and experience in working with Microsoft Suite and Google Suite, particularly with excel and google sheets
- Excellent communication skills and demonstrated ability to work effectively with various stakeholders
- Evidence of ability to effectively use technology to perform duties

Medicaid
Duties and Responsibilities:
- Maintain physical and electronic records of provider licenses, certifications, CPR, CPI, Social Security cards, and identification documents.
- Assist with Health Aide Authorization approvals for service minutes under established thresholds and process Parent Consent documentation.
Generate, track, and distribute IEP expiration reports to case managers and administrators. - Assist with data entry and documentation for the Daily Random Moment Time Study (RMTS).
- Collect, organize, and distribute transportation documentation related to Medicaid services.
- Manage inventory and check‑in/check‑out of laptops, Chromebooks, test kits, and therapy equipment.
- Support logistical arrangements for CPI and CPR trainings, including tracking participation and maintaining records.
- Assist the Medicaid Specialist with maintaining organized provider and staff files.
- Perform other duties as assigned.
Foster Care and McKinney-Vento Duties and Responsibilities
- Identification and Enrollment:
Ensure school personnel (registrars, secretaries, etc.) are trained to identify students in housing transition or foster care. - Immediate Enrollment:
Facilitate the immediate enrollment of students, even if they lack normally required documents such as proof of residency, immunization records, or birth certificates. - Best Interest Determinations (BID):
