General Statement of Responsibilities:
The Administrative Assistant III, Part‑time will assist the Finance Department in maintaining financial records for the Career & Technical Education Department and is an integral part in the successful operation of the district’s compliance with the rules and regulations set forth by the Uniform System of Financial Records (US FR).
Principal Duties:
- Performs a variety of clerical duties (filing, organization), providing assistance to staff and administrators, as needed.
- Assists in maintaining proper audit trail and checks & balances; assists auditors as required.
- Assists in providing, processing, and reconciling accounting information for school and district staff members.
- Performs basic office procedures and other related tasks as assigned by Supervisor.
- Assists with all travel related activities including coordinating, reserving, and securing reservations, accommodations and other travel related expenses.
- Reviews and verifies the accuracy and completeness of purchases and supporting documentation.
- Reconcile credit card purchase orders and credit card purchases for all career and technical education funding sources.
- Maintain organized records of invoices, payments and other documentation.
- Work closely with other Business Office staff and Administrators to ensure all career and technical education expenses are compliant with Federal and State audit requirements.
- Performs other related duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Proficiency in Microsoft Office, and familiarity with accounting software.
- 1–3 years of accounting or finance experience in a school setting, preferred.
- Associate degree in Accounting, Finance, or related field, preferred.
