School Office Secretary
General job description under the direct supervision of the building principal and assistant principal, the secretary provides comprehensive clerical, secretarial, and operational support to ensure the smooth, efficient, and safe operation of the school office. This position serves as a primary point of contact for students, staff, families, and visitors and requires the ability to manage multiple responsibilities with professionalism, discretion, and sound judgment.
The role also includes student supervision duties as needed to support building operations.
Qualifications:
- High school diploma or equivalent required.
- Demonstrated proficiency in word processing, databases, spreadsheets, and related software.
- Prior experience in an office or school setting preferred.
- Demonstrated excellent verbal and written communication and organizational skills.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Strong interpersonal skills and ability to work collaboratively in a team environment.
Essential functions and responsibilities include:
- Meeting and greeting all visitors in a professional, courteous, and helpful manner and maintaining required visitor logs.
- Receiving, screening, and routing incoming telephone calls and messages efficiently and appropriately.
- Sorting, distributing, filing, and maintaining correspondence, records, invoices, and other documents in accordance with established procedures.
- Copying, typing, laminating, faxing, and distributing materials for administrators, teachers, and staff.
- Maintaining, updating, and organizing filing systems, including classifying, cross-indexing, and labeling materials using standardized systems.
- Ordering, inventorying, and maintaining office and building supplies as needed.
- Assisting in maintaining and verifying student and staff attendance records and reports, including those for administrators, and contacting parents/guardians regarding student absences.
- Assisting in maintaining student records, including registrations, transfers, attendance, and current student rosters.
- Assisting with health services and providing basic first aid to students as needed, in accordance with district guidelines.
- Assisting in collecting fees and maintaining accurate activity accounts in accordance with district audit procedures.
- Assisting in collecting, reviewing, and processing employee time sheets.
- Assisting with maintaining records and supporting the operation of the school lunch program.
- Assisting with orienting substitute teachers, maintaining substitute records, and securing substitutes during the school day.
- Contacting custodial and/or maintenance staff as necessary to support efficient and safe building operations.
- Keeping the principal and assistant principal informed of known issues impacting daily school operations.
- Preparing, typing, and distributing newsletters, parent communications, and other materials as directed.
- Supervising students in non-instructional settings, including but not limited to the playground, lunchroom, buses, and hallways, as assigned to support safe and orderly school operations.
- Performing other related duties as assigned by the building principal and assistant principal.
Working conditions:
10-month position, full time.
