An Accounting Specialist is responsible for maintaining accurate financial records within a company by performing tasks like recording transactions, processing payments, reconciling accounts, generating financial reports, and ensuring compliance with accounting regulations, often focusing on a specific area like accounts payable, accounts receivable, or payroll, depending on the organization’s needs; requiring strong attention to detail, analytical skills, and proficiency with accounting software.

Position Overview:

As Accounting Specialist, you will be responsible for overseeing and managing the day-to-day financial transactions of the company. The primary focus of this position will be accounts payable, billing, accounts receivable, and sales tax compliance. The ideal candidate should have extensive experience in construction accounting practices.

Key Responsibilities:

• Accounts Payable:
  • Process vendor invoices, ensuring accuracy and adherence to payment terms.
  • Reconcile accounts payable aging reports and ensure timely payment to suppliers and subcontractors.
  • Manage and maintain vendor relationships, including resolving discrepancies and addressing inquiries.
  • Prepare and process weekly or bi-weekly payment runs.
• Billing & Accounts Receivable:
  • Prepare and issue client invoices according to contract terms, including progress billing, retention, and final billings.
  • Track and manage outstanding receivables, following up on overdue payments, and maintaining customer communication.
  • Reconcile customer accounts and resolve billing issues or discrepancies.
  • Work closely with project managers to ensure accurate billing in alignment with project timelines and budgets.
• Sales Tax Compliance:
  • Prepare and file sales tax returns in accordance with state and local requirements.
  • Maintain accurate records of sales tax transactions for audits and compliance purposes.

Stay current on applicable tax regulations and ensure the company remains compliant with changing tax laws.

Qualifications:

• Associate’s degree in accounting, finance, or related field
• Proven experience (5+ years) in accounting, with a strong background in accounts payable, accounts receivable, billing, and sales tax, ideally in a construction or contracting environment.
• Proficient in accounting software (e.g., Quick Books, Sage, Procore, etc.) and MS Office Suite.
• Strong understanding of billing processes, and project-based accounting.
• In-depth knowledge of sales tax regulations and compliance in the construction industry.
• Exceptional attention to detail, organization, and time management skills.
• Ability to handle multiple tasks simultaneously while meeting deadlines.
• Strong verbal and written communication skills.
• Ability to work independently and as part of a team.

Compensation: 55-60K based on experience, plus benefits such as health insurance, retirement plans, and paid time off
