Title Clerk

• Base Pay $19.00 - $23.00 / Hour

Schedule: Monday–Friday | 8:00 AM – 5:00 PM

Basil Family Dealerships is growing, and we are looking for a detail-oriented and motivated Title Clerk to join our team at our Amherst administrative office. This position plays a critical role in ensuring accurate vehicle processing, dealership compliance, and accounting support across our organization.

• Process vehicle titles and registration paperwork accurately and efficiently
• Submit all required paperwork to the DMV in a timely manner
• Stock vehicles into CDK/VERFI upon purchase
• Break down vehicle deals and verify documentation completeness
• Process pay-off checks for trade-ins and mail payments to the appropriate financial institutions
• Ensure compliance with all New York State and Federal dealership guidelines
• Process accounts payable and accounts receivable transactions
• Create, review, and send invoices
• Apply payments and reconcile customer accounts
• Match invoices to purchase orders and resolve discrepancies
• Reconcile all accounts to general ledger balances monthly
• Maintain accurate financial records and dealership documentation
• Assist with month-end closing and reporting
• Prepare accurate reporting of daily transactions and business activity
• Communicate with vendors, lenders, and internal teams regarding billing or title issues

• Familiarity with CDK and VERFI systems is a plus
• Strong attention to detail and organizational skills
• Ability to multitask and prioritize in a fast-paced environment
• Excellent communication and problem-solving abilities
• Working knowledge of DMV processes and dealership compliance standards preferred
