About the RoleWe are seeking a detail-oriented and organized Billing Specialist to join our growing construction management team in Buffalo, NY. The Billing Specialist will be responsible for managing project billing, preparing invoices, tracking subcontractor and vendor documentation, and supporting the accounting and project management teams throughout the project lifecycle. The ideal candidate has strong administrative and accounting skills, experience in construction billing or job costing, and the ability to work in a fast-paced environment with multiple deadlines.
Responsibilities- Prepare and process owner billings, subcontractor billings, and progress invoices
- Review contracts, purchase orders, and change orders to ensure accurate billing
- Coordinate with Project Managers to verify project status, costs, and billing schedules
- Track lien waivers, insurance certificates, and subcontractor compliance documents
- Maintain accurate project billing records and supporting documentation
- Submit AIA billing applications and related backup documentation
- Reconcile billing discrepancies and resolve invoice issues promptly
- Communicate professionally with clients, vendors, subcontractors, and internal teams
- Two-year degree in accounting or business administration with an accounting focus
- At least five years of professional work experience in a corporate accounting function
- In the event that either education or experience qualifications are not fully met, an equivalent combination of the two may be acceptable.
- A working knowledge of general accounting principles
- Excellent problem-solving skills: the ability to view a situation from multiple angles, collaboratively brainstorm on solutions and identify the best course to move forward

- Strength in initiative-taking, and a demonstrated track record in proactively identifying improvement opportunities and acting upon them

- Ability to prioritize multiple tasks demanding of immediate attention, and to juggle multiple, on-going, concurrent responsibilities
- Competence in common computer applications including MS Office and Internet; strength in Excel is required; familiarity with ADP Workforce Now is preferred but not required.
