The Care Management Coalition of Western New York (CMC) is a collaborative nonprofit that supports nonprofit agencies across the Western New York community. Based in the Broadway‑Fillmore neighborhood, CMC provides shared space, coordinated building operations, and strong administrative and financial systems that allow partner organizations to focus on their mission. As CMC strengthens its internal operations, it is investing in its workplace, systems, and staff to support continued impact.
Position SummaryCML is seeking a dependable and organized Office Administrator to help anchor daily operations during a period of meaningful organizational change and expansion. This role is the hub for building operations and front desk activity, while also supporting program documentation and key administrative and financial functions. Backed by years of community commitment and collaboration, CMC is investing in its infrastructure and people—offering this position the chance to build skills, take on new responsibilities, and contribute to a dynamic and evolving organization.
Key Responsibilities- Serve as the primary front desk contact and manage daily office operations
- Coordinate building operations, vendors, facilities needs, and access systems
- Order and maintain office supplies, equipment, and postage
- Maintain lease, building, administrative, and program records
- Support financial operations, including A/P, A/R, and bank deposits
- Provide administrative support to leadership and staff
- Participate in partner agency trainings and tours as offered
- Perform other administrative and facilities‑related duties as assigned
- Strong organizational and customer service skills
- Ability to prioritize tasks and work independently in a busy office environment
- Excellent written and verbal communication skills
- Commitment to CMC’s mission and to serving individuals and families in a respectful, strengths‑based manner
- Prior administrative or office operations experience preferred
- Salary Range: $42,000 – $48,000 annually
