Facilities Operations
- Serve as the primary facilities operations lead for 955 Main Street, overseeing day-to-day facilities operations in collaboration with the JSMBS Facilities team, University Facilities, Campus Planning, Security, Custodial Services, IT, and other service units.
- Develop, manage, and monitor the building work-order log; place, track, and follow up on service requests to ensure timely resolution.
- Confirm, modify, and oversee room reservations within the Event Management System (EMS).
- Partner with academic departments, curriculum leadership, and the Registrar to coordinate classroom seating and scheduling.
- Coordinate card access, keys, and permissions for faculty, staff, students, labs, vendors, and guests.
- Identify and troubleshoot building-related issues and coordinate resolution with appropriate partners.
- Address security-related concerns, including lost and found, building access, and safety setups.
- Serve as the building coordinator for fire evacuation planning, including organizing evacuation teams and maintaining floor-zone assignments.
- Maintain accurate and up-to-date building communications via website, signage, and other communication channels.
- Provide strategic and operational leadership for academic, administrative, and external events hosted at 955 Main Street.
- Serve as Service Center Manager for room rentals and event-related space usage, working with the JSMBS Business Office on rate setting, recalculations, and space request management.
- Lead event planning and logistics, including walk-throughs, staffing coordination, custodial, facilities, and security support.
- Coordinate vendors, deliveries, and minor event supplies in collaboration with campus partners.
- Oversee space utilization practices to ensure effective, compliant, and mission-aligned use of facilities.
- Lead and manage building tours for internal and external stakeholders.
- Serve as an ambassador for the Jacobs School of Medicine and Biomedical Sciences and the University at Buffalo.
- Provide professional, customer-focused engagement for visitors, partners, and event clients.
- Coordinate onboarding logistics for new faculty and staff, including office setup, access credentials, nameplates, and custodial requests.
- Monitor and manage the JSMBS Facilities email account, triaging requests related to access, events, keys, and building issues.
- Ensure accurate submission and tracking of timecards for designated staff and service areas.
- Prepare operational communications, schedules, and tracking tools to support day-to-day facilities and event operations.
- Identify opportunities to improve facilities, event, and space management processes.
- Develop and refine operational procedures and workflows.
- Track activity and service metrics to support planning and decision-making.
- Provide operational summaries and updates to leadership as needed.
