Office Administrator/ Coordinator
Our client, a locally based wealth advisory firm, is looking to add a Retirement Plan Administrator to their growing team in Buffalo, NY. This position is a great career opportunity for an individual who has experience in the financial services industry and who has a working knowledge of corporate retirement and employee benefit plans.
The RoleThe Retirement Plan Administrator will support a team of financial advisors and will be focused on delivering a high level of service to the firm’s clients. Responsibilities of the role include:
- Customer Support: Respond to client inquiries via phone, email, and in-person. Ensures client requests, questions, and needs are addressed accurately and in a timely manner. Triage calls based on urgency and purpose. Escalate issues when necessary.
- Application & Packet Preparation: Prepares all materials for client meetings and appointments. Ensure documents are complete, accurate, and ready for submission.
- Processing: Handles service requests including account openings, transfers, wires, ACH transactions, beneficiary changes, rollovers, retirement plan loans, distributions, contributions, and e-delivery enrollments. Oversees completion of all service requests, ensuring accuracy and completeness.
- Administrative Support to Team: Processes check deposits, provide client website support, collaborates on cloud maintenance, and sets up Zoom/Teams meetings. Performs administrative tasks supporting Relationship Managers and Advisors, including scheduling, follow-up, and data entry. Maintains organized documentation and records.
- CRM Data Management: Maintains accurate, up-to-date client records while ensuring confidentiality. Tracks tasks and completes daily activities in the CRM system.
The successful candidate will possess the following:
- 4–6 years of experience within the financial services industry with a focus on retirement and employee benefit plans.
- Demonstrated proficiency in handling employee enrollments, completion of annual census and employee rollovers.
- Prior experience with CRM platforms is required.
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint), as well as ZOOM and advanced calendar management skills.
At this time, the good faith estimate of the annual base salary range for this position is $60,000 to $65,000 plus a full benefit offering, including paid individual life insurance, 401K plan match, PTO and vacation time. Where a successful applicant is slotted within the compensation range will vary based on legitimate criteria, such as years of experience and skill level.
