We are seeking a talented Administrative Specialist to join our team of nearly 500 employees. The Administrative Specialist oversees administrative office management and logistics, reporting, and data preparation, and maintains the Children’s Single Point of Access (C-SPOA) Policy and Procedure Manual. The Administrative Specialist will be responsible for the creation and maintenance of all marketing products and assisting the Director/Coordinator and other department staff as needed.
The Administrative Specialist is an employee of Coordinated Care Services Inc. (CCSI) who is contracted to work directly with Erie County Children’s Single Point of Access Program.
CCSI is partnering with Erie County to hire an Administrative Specialist. This position is employed by CCSI and working on behalf of Erie this role, you will Responsible for general office administration
Manage site work and logistics in order to support clinical team Create Electronic Health Records, ensure information is complete, case assessments are done, manage C-SPOA files, track intake status and outcomes of referrals, organize office operations and procedures, and clerical functions
Coordinate onsite training events with outside vendors and online webinars, as directed
Assist in developing and maintaining process standards for efficient operations
Run Electronic Record Reports as requested to support supervisory staff implementation of C-SPOA process flow
Keep staff informed on agency-reported capacity
Data preparation and reporting for Administrative oversight
Prepare all reports and data necessary for County and State requirements for supervisory review and submission
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends
Assist Mental Health website content for Children’s sections
Prepare correspondence, meeting agendas and meeting minutes
Answering telephone calls and emails from customers and clients and directing them to relevant staff
Assist in obtaining necessary documentation to assist team in optimally supporting youth and families
Performs other duties as assigned.
What you bring
Associates degree from a 2-year college or technical school and 4 years work experience or equivalent education and work experience (see CCSI's equivalency chart)
Required for this position are:
Satisfactory completion of all required background checks
Reliable transportation to and from work is required

Staff working directly with protected health information /electronically stored protected health information, personally identifiable information, and other patient/consumer/customer data, will abide by the specific procedures and policies outlined by CCSI’s Code of Conduct and CCSI’s Privacy and Security Policies, New York State regulations and Federal regulations.
