Description

The Residential Shift Scheduler & Relief Manager is responsible for managing DSP open shifts for residential sites; ensuring that the required number of staff are assigned to each site for every shift. This process includes identifying openings in the schedule; communicating with the residential management team about openings and coverage needs; and notifying employees of available open shifts. The Residential Shift Scheduler & Relief Manager is also responsible for managing the residential Relief DSPs schedules;

ensuring that they are being scheduled during required days/hours, and are in compliance with relief requirements, including hours/days worked and training requirements.

POSITION RESPONSIBILITIES

1. Continuously identifies open shifts and on a weekly basis ensures that any sites with vacant shifts are filled ensuring that minimum staffing patterns are always met. As necessary, reaches out to Residential supervisors regarding picking up and/or assisting in identifying employees to pick up open shifts.

2. Maintains the shift assignment schedule that includes details regarding the site’s staffing patterns and other specific needs for personnel (i.e., med certified, SCIP certified). Researches and utilizes technology and scheduling software/apps that would create efficiencies in scheduling.

3. Maintains a list of all relief staff, including their preferred times to work. Contacts Relief staff to pick up shifts.

4. Manages Relief staff schedules and monitoring for compliance with the requirements for picking up shifts, specifically the adherence to hours and days.

5. Assists the Site Manager in monitoring compliance with training requirements, including any needed scheduling adjustments in order to be in compliance.

6. Notifies Human Resource and Residential Site Manager of concerns with non-compliance.

7. Works with the Accounting/HRIS Software Manager on the utilization of the scheduling software tools to manage shift assignments.

8. Maintains ongoing communication with Human Resources regarding open positions being filled in order to help forecast future when someone is anticipated to fill current open shifts.

9. Obtains and reviews the list of any new Residential DSPs, including their assignments and schedules to help ensure that there is a plan for onsite training and shadowing is in place.

10. Discusses with new Residential DSPs opportunities for picking up shifts outside of their assignments and the process for doing so.

11. Notifies agency personnel when there are opportunities to pick up shifts in Residential.

12. Notifies Human Resources of any new employees outside of the Residential department interested in picking up DSP shifts so that they can be assigned a Residential DSP position.

13. Works with Residential management to ensure that those picking up shifts who are not fully trained and experienced are assigned to sites where they will be partnered with seasoned Residential DSPs or supervisors.

14. Assist the supervisor on-call in filling shifts for DSP call-offs, including reaching out to DSPs to pick up the shifts and helping identify where there are sites that have staff that can be pulled to sites in need.

15. Tracks, trends, and analyzes open shifts. Utilizes the shift assignment schedule, along with other information, including payroll data and staffing patterns to help solve problems and create efficiencies.

SUPERVISORY RESPONSIBILITIES

There are no supervisory responsibilities.

WORKING CONDITIONS

Will work in assigned Agency offices during typical business hours, as well as one weekend day/week.

Requirements
Education and Experience Requirements
  • High school diploma or equivalency.
  • 1 year of office experience that includes scheduling appointments or employee shifts.
Skills, Knowledge and Abilities
  • Strong oral and written communication skills
  • Microsoft Office – advanced experience in Excel and Teams
  • Must be technologically savvy with the utilization of scheduling software/apps or can learn new technology.
  • Excellent organizational skills, including the ability to maintain and keep organized a shift assignment schedule.
  • Strong interpersonal skills, including the ability to effectively collaborate with all levels of employees and managers.
  • Strong problem-solving skills, including the ability to collect and analyze data.
