Potter Career Center is seeking a Senior Clerk Typist to provide front‑office coverage: greet visitors, answer phones and emails, route inquiries, and maintain a professional, student‑centered reception area. Prepare, proof, and format a wide range of documents (memos, letters, handbooks, field trip packets, advisory committee materials, MOUs, purchase requests, safety forms) using word processing and spreadsheets; maintain version control and distribution lists.
Compile daily attendance, bell schedules, and program rosters for CTE programs; audit data for accuracy and reconcile discrepancies with registrars and sending districts. Enter and update student records in SIS/CTE data systems (enrollment, industry certifications, NOCTI/NIMS or other assessments, program completions, WBL placements, IEP/504 service logs as directed); run routine reports for administrators and counselors. Support work‑based learning (WBL) coordination: track placements, clearances, timesheets, employer evaluations, transportation forms, and insurance certificates;
schedule site visits and maintain partner contact lists. Coordinate advisory committee logistics: manage membership rosters, meeting notices, RSVPs, agendas, sign‑ins, minutes, and follow‑up communications; process reimbursements or stipends per policy. Assist with CTE program events (open houses, competitions, credential testing days, graduations): prepare materials, signage, rooms, vendor set‑ups, and volunteer schedules; process field trip paperwork and permissions.
- Supervises the work of clerical staff in the Career and Technical Center.
- Prepares bi‑weekly payroll reports for the Center.
- Handles routine student problems in accordance with standard procedures.
- Oversees the purchasing procedures for the Center from initial requisition to delivery.
- Performs general office work associated with the office of the Career and Technical Center principal.
- Assists in the preparation of reports to the local school districts.
- Ensures that incoming and outgoing mail is forwarded properly.
- Oversees the petty cash fund for the Center.
- Keeps attendance records for all employees at the Center.
- Receives visitors and provides information as needed.
- Maintains the records for student activity accounts.
- Other duties may be assigned that are relevant to the civil service job description for this title.
Minimum Civil Service
Qualifications:
There is no civil service examination required for this position for the duration of the NY HELPS Program. Candidates must meet the minimum civil service qualifications for a NY HELPS appointment as follows:
Graduation from high school or possession of a high school equivalency diploma including or supplemented by a course in typing and one (1) year of office clerical experience.
- Highly dependable, punctual, and flexible.
- Ability to work collaboratively in a team‑oriented environment, initiative to anticipate needs and solve problems proactively.
- CTE‑Specific Knowledge (Preferred). Familiarity.
