Position Summary
The Department of Surgery at the Jacobs School of Medicine and Biomedical Sciences seeks a Medical Student Clerkship Coordinator to manage the day-to-day operations of undergraduate medical education clerkship program(s) and electives within the Department of Surgery. The coordinator reports to the Clerkship Director of the assigned clerkship and serves as the central liaison between students, faculty, residents, clinical sites, and administrative offices to support the effective delivery of clerkship curricula across clinical learning environments.
Key responsibilities include:
* managing student rotation placements and schedules;
* coordinating onboarding requirements for clinical sites;
* maintaining didactic schedules, syllabi, course materials, UBLearns announcements, and clerkship communications;
* coordinating clerkship simulations and OSCE rosters with the Behling Simulation Center;
* proctoring and supporting NBME shelf examinations;
* managing evaluations in Med Hub; tracking Required Clinical Experiences (RCEs), assignments, duty-hour/clinical experience logs, and e-Passport completion;
* assisting with final grade form preparation as appropriate; preparing data packets and reports for accreditation and annual clerkship review; and monitoring action items through completion.
The successful candidate will be a highly organized, self-directed professional who demonstrates sound judgment, confidentiality, excellent communication, strong attention to detail, and the ability to manage multiple deadlines in a fast-paced academic clinical setting. The coordinator may serve as an early point of contact for student concerns or mistreatment reports and must route such concerns through appropriate institutional policies while maintaining confidentiality.

Minimum Qualifications
* Bachelor's degree and/or an equivalent combination of education and relevant experience.
* Strong organizational and time-management skills, with the ability to manage competing priorities, meet deadlines, and maintain accurate records.
* Excellent written and verbal communication skills and ability to interact professionally with students, faculty, residents, clinical site administrators, and administrative offices.
* High attention to detail, sound judgment, and ability to handle confidential student, patient, and program information with discretion.
* Proficiency with Microsoft Office and ability to learn and use institutional systems such as UBLearns, Med Hub, and e-Passport.
* Ability to work independently and collaboratively and to support required exam proctoring, clerkship deadlines, onboarding requirements, and program activities.
Preferred Qualifications
* Experience in medical education, higher education, academic administration, healthcare program coordination, or clinical education support.
* Experience coordinating student rotations, clerkships, onboarding, didactic schedules, simulation activities, OSCEs, training programs, or exam administration.
* Familiarity with learning management, evaluation, student information, or clinical education tracking systems, including UBLearns, Med Hub, e-Passport, or similar systems.
* Knowledge of LCME-related clerkship requirements, Required Clinical Experiences, student evaluation workflows, accreditation documentation, and clerkship review processes.
* Experience working with faculty, students, residents, clinical partners, and diverse stakeholders in a deadline-driven environment.
Physical Demands
Standard office and academic clinical environment:
* Requires prolonged periods of computer use
* Frequent communication by email, phone, and in person
* Regular interaction with students, faculty, residents, clinical sites, and administrative offices
* Occasional movement between offices, classrooms, simulation areas, examination rooms, and clinical education sites
* Must be available on site for onboarding/ICARE weeks, NBME shelf examinations, OSCEs, simulation sessions, and other required clerkship activities
* May occasionally move materials up to 25 pounds
